Our Lichfield based client has a requirement for an Agency Co Ordinator to join their organisation to cover an 8 month Maternity contract.

Main Purpose: To actively respond to all requests for Agency cover across the business, proactively liaising with agencies and booking agency cover as soon as possible to ensure all uncovered shifts across the business are allocated and filled regardless of the timescale to support the delivery of excellent care.

Duties

1. To be the first point of contact for all agencies, guiding all aspects of the agency booking process in accordance with policies and procedures

2. Action all requests for agency bookings that come into the team as soon as possible

3. Send out all requests to Agencies straight away to enable as much time as possible for cover to be sourced

4. Document all shifts onto the system

5. Work proactively with approved Agencies to fill available shifts to try and ensure required shifts are covered

6. Answer and manage any incoming calls, ensuring all calls are dealt with appropriately and in a timely manner

7. System maintenance - ensure the system is kept up to date with clear documentation added where necessary

8. Upload any agency documents to the system

9. Ensure that Agency placements comply with government and CQC guidance, this includes all compliance checks such as right to work in the UK and checking of vaccination status.

10. Provide detailed hand overs of all shifts that require agency cover and have not yet been allocated

11. Regularly chase Agencies to gain updates on shift covers required

12. To raise issues regarding the fulfilment of shifts to senior team members as required

13. Run reports as and when requested by management

Telephone based customer service experience

All round office administration experience

Results driven, must be able to work to deadlines

Fast accurate keyboard skills

Hours

2 week rotational shifts

Week 1 - 08.00 am - 4.00 pm

Week 2 - 10.00 am - 6.00 pm
