In a nutshell, you’ll take on a vast array of administrative roles that will ensure your department operates efficiently. Handling enquiries, you’ll either resolve them yourself or pass the enquiry on to the relevant person. Perhaps someone needs some data, information or a report. If they do, you’ll know where to locate it and circulate it as needed. You’ll also be the one who takes responsibility for updating and maintaining your departments records, systems and databases. You’ll even organise and manage department activities and supplies. Whatever is asked of you, you’ll give it your all. And whilst you’ll follow the various procedures and processes in place, if you see something that can improved upon, we’ll expect you to share your thoughts. At NPL, we embrace change for the better.
This administrator role at NPL sits within our Health and Safety department. NPL puts HSE as its number one priority and this is a fulfilling opportunity to join a team at the heart of NPL.
**Key Role Tasks**
Actively assist the HSES department with basic HSES activities and specific admin tasks including but not limited to:
- Act as Admin for the HSES team and Head of Function
- The role is physically based on site
- Actively source and record incidents and pre-screen incidents
- Maintain incident statistics database
- Active part of the HSES emergency response team
- Deliver the standard HSES induction training (Monday AM)
- Actively lead HSES team meetings as the process owner in a ‘project management’ scenario
- Utilises the latest technologies to deliver clear concise messages
- Develop context based communications on HSES topics
- Undertake and obtain basic HSES qualifications
- Cary out Audits in low technical specialist areas
- Booking training
- Booking Audits
- Maintaining and updating specialist contact lists for NPL
- Laser Safety contacts
- Emergency contacts
- Emergency equipment list and maintenance of equipment
- Act as a central purchasing resource for specialist HSES equipment and suppliers
- Collate individual training forms and match with needs
- Process leavers and ensure critical contact lists are up to date
- Managing 1st Aiders and their supplies
- Organise and facilitate Specific HSES training
- Maintaining and organising critical supplies for the HSES team
- This role will be required on site in our Teddington facility 5 days a week.
