About the Office Manager Role

This newly created Office Manager role offers the chance to play a key part in keeping our operations running smoothly. You'll join a small, close-knit team that takes a hands-on, collaborative approach to delivering an exceptional service for families during a difficult time.

In this pivotal role, you'll primarily support our Funeral Directors in coordinating funeral arrangements, combining empathy, strong organisational skills, and initiative to ensure our operations, administration, and client communications run seamlessly and with care.

Key Responsibilities:

  • Provide a warm and professional first point of contact for families, handling enquiries sensitively in person, by phone or email.
  • Maintain accurate digital and paper records, ensuring all documentation is completed and securely stored.
  • Coordinate with registrars, ministers/celebrants, crematoria, florists, musicians, and other service providers.
  • Book venues, vehicles and service times.
  • Prepare funeral service materials with a keen eye for detail.
  • Prepare cost estimates and manage payments, insurance plans and donations.
  • Ensure appropriate stock levels, supplies and equipment are maintained.
  • Develop and improve administrative processes, creating user guides and checklists.
  • Keep the reception area and meeting rooms welcoming, calm and presentable at all times.
  • Support marketing activities, including assisting with social media and blog content.

You'll also assist in preparing the chapel for family visits - including the dignified manual handling of coffins and the deceased (training and equipment provided), and may occasionally support colleagues with the offsite collection of the deceased, ensuring professionalism and care at all times.

About You

You'll be someone who combines compassion with efficiency - calm, capable and always attentive to the needs of others.

You will have:

  • Proven administrative and customer service experience, managing a busy workload with tight deadlines.
  • A warm, approachable manner and a natural sense of empathy.
  • Excellent organisational and planning skills, with strong attention to detail.
  • The ability to work independently and as part of a team.
  • Confidence to take initiative and solve problems proactively.
  • A strong work ethic and be flexible towards tasks.
  • Excellent command of the English language, with strong written and verbal communication skills.
  • Superb IT skills, including Microsoft Word and Excel.
  • Comfort working in a setting where the deceased may be resting.
  • Willingness and physical ability to assist with the dignified handling of coffins and related equipment.

Although not essential, Welsh language skills would be advantageous.

  • Supportive, friendly working environment, in Llandudno.
  • Working Monday to Friday 9am to 5pm. Consideration will be given to candidates who would prefer part time hours, e.g. Monday to Friday 9am to 3pm.
  • Full time salary in the region of £25,000 to £30,000, with the starting level dependent on experience.
