Role Purpose

A Workplace Assistant is someone who:

Day-to-Day Responsibilities

You will be a key cog for all staff and visitors to Markel, taking responsibility for all their office needs within a stunning, boutique, professional environment. You will work in partnership with the Reception, Hospitality, and FM Teams to deliver bespoke, personalised services creating an engaging, welcoming and efficient atmosphere for all staff and visitors at Markel.

This is an agile and active role capturing a whole host of responsibilities. Flexibility and proactivity are cornerstones of the experience to the staff and their external guests so you will need to wear many hats to support their different needs.

Your duties will include:

· Being the professional and vibrant ambassador for all visitors, staff, and your colleagues in Markel. This includes in-person, email and on the phone.

· Ensuring all areas of the office including Broker Lounges, Kitchens, Meeting Rooms and stationery areas are immaculately presented ensuring issues are escalated to the relevant department if they cannot be resolved yourself.

· Managing the smooth delivery of all meetings and events including set-ups and clear downs making sure the personal needs of that meeting are catered for by working in partnership with Reception, Hospitality, and the Markel Events Team.

· Effectively manage Service Now making sure all tickets are promptly responded to, and all information is up-to-date and accurate.

· Manage incoming and outgoing post and couriers working in partnership with the 20 Fenchurch Street Post Room and internal staff to ensure all deadlines are met, mail promptly distributed and Loading Bay bookings efficiently managed.

· Support staff with lockers including resetting codes and emptying contents of leavers ensuring they are returned to them.

· Take ownership of stationery ensuring all areas are replenished and neatly maintained, ordering stock as and when needed.

· Organise and update staff and sub-tenant building access.

· Follow confidential waste and shredding in line with the client policy.

· Proactively manage whatever the day brings being flexible to try anything new.

· Building relationships with staff and being curious about doing things smarter or better.

· Supporting Amplify and Markel with ideas and innovations as required.

The purpose of this role profile is to focus attention on the most important aspects of the role. It is not intended to be a complete list of every duty and you will be working closely with the Head of Operations to support the needs of the business.
