Job Overview

Operations Coordinator (12-Month Maternity Cover) – Leeds

We're looking for an organised and proactive Operations Coordinator to join our team in Leeds on a 12-month maternity cover contract.

In this role, you'll support our finance, campaign, production, and head office teams, helping to keep day-to-day operations running smoothly. You'll play a key part in coordinating projects, maintaining accurate documentation, and ensuring clear communication across departments.

Salary: Competitive, dependent on experience

Responsibilities

Finance Support

· Attend weekly finance meetings, ensuring new jobs are logged and invoiced.

· Process and track weekly budget requests.

· Chase missing invoicing details from clients where required.

· Monitors spend on live campaigns and flag variances to the Finance Director.

Campaign Support

· Keep task planners and shared documents up to date.

· Ensure correct documentation for new jobs is filed and distributed.

· Support the campaign team with weekly admin checks (budget requests submitted, weekend handovers completed, receipts reconciled, planners updated).

· Take notes in weekly operations meetings and update task planners accordingly.

Head Office Support

· Assist HR with overseeing team clock-in/overtime checks.

· Help with scheduling training sessions and updating progression records.

Production Support

· Support production leadership with resource planning and scheduling.

· Ensure planners are updated and that new jobs are correctly passed to production.

· Assist with admin tasks linking campaign and production teams.

Candidate Profile:

· Experience in an operations, administrative, or coordination role (experience in events or creative industries desirable but not essential).

· Highly organised with excellent attention to detail.

· Comfortable working with numbers and tracking budgets.

· Strong communication skills and a collaborative working style.

· Proficient in task/project management systems and MS Office.
