What we're looking for:
We are looking for an experienced Executive Assistant to join our Operations team to ensure the smooth operation of the executive office. You will primarily be responsible for administrative support to the Chief Executive Officer, and the Executive team, managing schedules and facilitating effective communication between the company's leadership team and more widely with the business and scientific community. Where appropriate, you may also be required to support other strategic projects and office management tasks.

Key Responsibilities:
Executive Assistant
- Provide a comprehensive secretarial and administration service to the CEO and the Executive Team.
- Pro-active and pre-emptive diary/schedule maintenance and organisation including meeting room and venue arrangements.
- Schedule meetings, prepare and circulate agendas and materials, minute-take and follow up actions.
- Co-ordinate all Executive Team and Board member domestic and international travel using company-approved travel vendors, including flights, trains, ground transport, hotels, etc in accordance with company policies and budgets.
- Prepare relevant documentation and itineraries for travelling staff in a timely manner prior to departures.
- Coordinate any real-time, unforeseen travel issues as they arise.
- Raise purchase orders, review and submit expense reports for designated team members as necessary.
- Coordinate large meetings and events, both on- and off-site in collaboration with administrative partners from other locations, both domestically and internationally, as appropriate.
- Arrange conference registrations and membership renewals for professional organisations for designated team members.
- Provide ad-hoc assistance with personal and professional errands for the CEO, ensuring flexibility and a high degree of confidentiality.
- Proof-read materials and contribute to preparation of board packs and investor relationship materials.
Strategic projects / office management (where required)
- Facilitate meetings, arranging refreshments and taking minutes if required to do so.
- Support the CEO and Executive Team with preparation and distribution of Board and other meeting materials ensuring contributors are aware of deadlines and meeting materials are circulated in good time.
- Liaise with HR function regarding executive recruitment and HR matters when necessary, coordinating interview schedules with candidates and internal teams.
- Support contract management on CEO's request including collecting signatures and filing fully executed documents
- As the company grows and develops, carry out other administrative and change management projects.
- Act as a trusted liaison between the Executive Team and internal/external stakeholders, ensuring communication flows seamlessly.
- Draft and proofread correspondence, presentations, and reports on behalf of the Executive Team, ensuring clarity and professionalism.

- Act with integrity and professionally represent the organisation, liaising appropriately and professionally with colleagues, external parties and visitors to Constructive Bio's offices
As an ideal candidate you will have:
- Proven track record as an Executive Assistant or in a similar role, supporting C-suite executives in a fast-paced environment.
- A positive attitude, with a hands-on approach to new projects.
- Proactive and solutions-oriented mindset, capable of navigating ambiguity with confidence and poise.
- Excellent organisation and prioritisation skills and an ability to adapt quickly to changing business needs.
- The ability to work under pressure and use your own initiative with minimal support.
- Proven time management skills and strong attention to detail.
- Excellent communication skills, both verbal and written.
- Confidence liaising at all levels both internally and externally.
- Strong attention to detail, ensuring tasks are executed to the highest standard.
- Respect for the need for confidentiality and discretion at all times.
- Office suite knowledge (MS Office, online file sharing, PDF management, etc.) and at least intermediate computer literacy.
- Previous experience in a start-up environment ideal but not essential.
