Job Overview:

MYAA is an award-winning London and Barcelona-based architectural practice working worldwide. We are looking for a permanent office administration manager to support an expanding London office. As our office manager, you will be at the heart of our operations, playing a crucial role in driving efficiency and maintaining a well organised workplace.

Your responsibilities will include:

  • Answer and direct all incoming external and internal emails and telephone calls and assisting with enquiries
  • Record telephone messages and pass them on by email or leave a voicemail message
  • Meet and greet all MYAA guests [clients, consultants, staff] in a professional manner
  • Distribution of daily post and management of outgoing post
  • Maintain MYAA office calendar and whereabouts of the team
  • Provide administrative and HR support to Directors and project teams
  • Effectively and efficiently manage outreach events and meeting arrangements including room bookings, catering requirements, logistics, presentation set up and presentation materials
  • Provide secretarial administrative support to Directors and project teams including management of expenses and filing, typing and editing documents
  • Co-ordinate travel arrangements as required
  • Liaise with, maintain stock and supervise office suppliers including cleaning staff, stationery suppliers, etc
  • Management of housekeeping, ensuring office and environment is kept in line with MYAA Policy and Standards
  • Office Building & Operations Management: Efficiently manage office building operations and maintenance
  • Assist the Document Controller as required
  • Thorough knowledge and compliance with MYAA procedures and standards

Qualities and Skills Required

  • Legally able to work in the UK
  • Fluent English, spoken and written is essential
  • Excellent organisational skills, able to manage sensitive and sometimes confidential information
  • Self motivated and able to take responsibility, able to demonstrate initiative and a proactive approach to daily tasks
  • Good interpersonal skills and able to work independently and as part of an effective team
  • Flexible attitude, able to build good relationships at all levels, internally and externally
  • Resilient to cope with conflicting demands, able to prioritise duties and work effectively under pressure [while always remaining calm and professional]
  • Able to work as part of an effective team assisting and supporting team members
  • ISO Quality Assurance, Information Management, Health & Safety: Maintain records and adhere to ISO filing standards and support ISO audits. Use Smartsheet for office management and administration
  • Professional, confident, courteous and helpful manner, punctual and reliable, ability to manage and prioritise tasks and time efficiently

Experience

  • Able to demonstrate proficiency in the responsibilities of the role
  • Knowledge of working in a creative environment
  • Degree educated (or equivalent)
  • Good Interpersonal and Communication skills, written and verbal
  • Proficiency in MS Office, Word, Excel, Acrobat, Outlook
  • Adobe In-design and Photoshop basic skills
  • Knowledge of administrative processes
  • Understanding of quality management systems
  • Experience with Smartsheet software is beneficial
