Job Overview
We are seeking a reliable and highly organized Office Administrator to support the smooth, day-to-day running of our office. The ideal candidate will be proactive, detail-oriented, and able to manage multiple tasks efficiently while maintaining excellent communication across the team and with clients. This role will work directly under the Office Manager.
This position is predominantly focused on supply-only sales, including receipting, invoicing, and liaising with clients on all supply-only enquiries and orders.
Key Responsibilities
- General office administration and clerical duties
- Handling incoming calls, emails, and post
- Booking in works and scheduling appointments
- Sorting job sheets for engineers and closing them down once completed
- Sending completed job sheets to clients in a timely manner
- Assisting with the preparation and processing of quotes and invoices
- Processing supply-only sales, including receipting, invoicing, and client communication
- Supporting the wider team with scheduling, data entry, and document preparation
- Managing digital and paper-based filing systems
- Assisting with finance administration, including invoicing and quoting
- Welcoming and assisting visitors
- Ensuring the office environment remains tidy, organised, and professional
- Working closely with and supporting the Office Manager as required
This role also requires you to carry out any additional tasks reasonably requested by your manager.
Requirements
- Previous administrative experience preferred
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Experience with job management or CRM software is an advantage
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Ability to work independently and collaboratively within a team
- Positive attitude, strong work ethic, and willingness to learn
- Must be willing to fully learn and understand the company, its products, and its processes to effectively support the business
