About the Role

We are seeking an organised, proactive, and customer-focused Clinic Administrator to join our private clinic in Blackheath. This role is central to ensuring an exceptional patient experience and the smooth daily operation of the clinic. The ideal candidate will be confident managing front-of-house duties, supporting clinical teams, maintaining compliance standards, and providing administrative support across imaging, GP services, and aesthetics.

Key Responsibilities

Front of House & Patient Support

  • Act as the first point of contact for all patients, providing a warm, professional, and welcoming reception experience.

  • Handle incoming calls, emails, and enquiries promptly and efficiently.

  • Serve as a chaperone when required, ensuring patient comfort and safety.

  • Deliver exceptional customer service at all times, ensuring patient satisfaction and retention.

  • Maintain the cleanliness, organisation, and presentation of the reception and waiting areas throughout the day.

Administrative & Compliance Responsibilities

  • Maintain accurate patient records, appointment schedules, and email correspondence.

  • Conduct daily and weekly compliance checks, reporting any issues promptly.

  • Support the clinic in meeting regulatory standards through monitoring, documentation, and adherence to protocols.

  • Prepare and set up rooms for different clinics including imaging, GP, and aesthetic services.

  • Manage financial records such as invoices, payments, reconciliations, and forwarding information to accounts.

Operational Support

  • Track, maintain, and organise leads for new clients, supporting marketing and business development.

  • Oversee stock management of consumables, including ordering, inventory checks, and supplier liaison.

  • Collaborate with clinical staff to ensure smooth patient flow and operational efficiency.

Essential Skills & Experience

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Excellent written and verbal communication skills.

  • Strong organisational abilities and attention to detail.

  • Ability to multitask, prioritise, and work independently in a busy clinic.

  • Professional and friendly manner with a commitment to outstanding customer service.

Desirable Skills & Experience

  • Previous experience in healthcare administration or medical reception.

  • Knowledge of clinical compliance processes, private healthcare operations, or patient management systems.
