Job Summary and Key Responsibilities:   

This is an exciting opportunity to join our Richmond branch as a Lettings Administrator. We are looking for highly organised and outgoing administrator in a client focused role that rewards excellent customer service and
attention to detail.

Duties will include:

  • Build strong relationships with clients to encourage future business and deliver strong client retention
  • Follow the procedures and process maps ensuring that all key time scales are met

    • Verify tenant's applications, obtains references, arranges inventory, EPC's, gas, electricity, provisions of works as required
  • Investigate and resolve queries and problems. Ensure that all queries are dealt with promptly and effectively and action is always taken in line with agreed service standards
  • Complete exchange of contracts process
  • Issue correct documentation including letters and legal documents to all relevant parties in a timely manner
  • Make quality system notes of key conversations. Confirm all conversations by email or letter.
  • Maintain and update property files and computer data bases filing emails and documents in a timely manner
  • Liaise with third party supplier to arrange works to be undertaken
  • Ensure that all relevant people are kept informed and up to date with progress particularly in relation to client issues / complaints. 
  • Manage expectations and follows through positively in accordance with service
    standards
  • Take appropriate action to pre-empt complaints. Escalate all complaints to line manager on receipt.
  • Comply with lettings administrative procedures and all relevant legalisation, Codes of Conduct and
    Practice and Due Diligence procedures
  • Develop and applies an understanding of legal requirements
  • Ensure stationary supplies are maintained which is to include any marketing materials
  • Arrange inspections with tenants
  • Conducting inspections as requested by Line Manager
