Job Description

We are seeking a personable and highly organised Executive Administrative Assistant to support the President, EMEA on a 12-month fixed-term maternity cover contract. This role combines high-level executive support with proactive project coordination to drive the President's agenda and ensure operational excellence across the EMEA region.

The successful candidate will be a trusted partner: adaptable, confident and comfortable operating in a fast-paced, global environment. They will bring exceptional communication skills, strong attention to detail and the ability to anticipate needs and manage multiple priorities with discretion and professionalism.

Responsibilities:

  • Acts as a strategic partner and trusted gatekeeper to the President, managing time, priorities and communications with discretion and sound management.
  • Provide comprehensive diary and inbox management, coordinating across multiple time zones and liaising with internal and external stakeholders.
  • Arrange detailed and complex travel itineraries, including visa requirements.
  • Review and approve travel itineraries for the wider EMEA Management Team.
  • Schedule, prepare and assist with meetings (virtual and in-person) and professional development days.
  • Organise global conferences, from planning to execution.
  • Collaborate and provide occasional support to the wider EMEA Management team (AVPs) with general administrative and project-related tasks, including approval of expenses.
  • Raise and manage purchase orders related to EMEA Sales, resolving any invoicing or payment queries.
  • Provide high-level executive support during C-suite and Executive leadership visits to EMEA offices, ensuring seamless coordination, logistics, and stakeholder engagement.
  • Maintain a positive, approachable and professional demeanour, providing excellent service to all internal and external partners.
  • Contribute to cross-functional initiatives and special projects as required.

Qualifications

  • Minimum 5 years' experience providing executive support, ideally within a technology, sales, or marketing-oriented organisation with an international structure.
  • Proven ability to manage multiple complex priorities with accuracy, composure, and attention to detail.
  • Exceptional written and verbal communication skills; confident interacting with senior stakeholders at all levels.
  • Demonstrated ability to manage sensitive information with confidentiality and integrity.
  • Commitment to teamwork, collaboration, and optimism, aligned with CyberArk's values.
  • Computer literacy, with expertise in all Microsoft Office suite products (Outlook, PowerPoint, Word, Excel).
  • Demonstrated ability to effectively organize and coordinate multiple priorities and projects.
  • Experience in managing events (such as leadership meetings, conferences, or offsites) is highly preferred.
