Swiss Army Knife Administrator – The Whirlwind Organiser Who Gets Stuff Done

Brixworth, Northamptonshire | £30,000pa| 4-Day Week (Mon-Thu)

Be the Energy That Transforms Chaos Into Order

At Spitfire Engineering Services, we thrive on action, energy, and making things happen. We need a force of nature in the office - a powerhouse organiser who's always two steps ahead, keeps everyone on their toes, and loves to get stuck in You'll be our go-to for admin, purchasing, PA tasks, and general organisation. If you see a problem, you fix it. If something needs doing, you're already on it. You bring positive energy and make things happen every single day.

What Will You Actually Do?

  • Purchasing admin: order materials, chase suppliers, keep records sharp, negotiate with vendors, and make sure the workshop never misses a beat.
  • General admin: emails, phone calls, filing, data entry, and keeping the office humming.
  • PA support: help directors stay organised - manage diaries, schedule meetings, send reminders, keep everyone on track, and handle those "can you just…?" requests.
  • Office dynamo: spot what needs doing - then do it Organise supplies, birthday cards, compliance renewals, training events, and more.
  • Jump in wherever needed - every week is a new adventure

What a Typical Week Might Look Like

  • Monday: Blitz through supplier emails, confirm delivery schedules, check inventory, update directors' diaries, and launch into the week with a team catch-up.
  • Tuesday: Source quotes for bespoke projects, update records, flag restocks, send meeting reminders.
  • Wednesday: Negotiate prices, place orders, organise workshop materials, coordinate a training session, and keep compliance on track.
  • Thursday: Process deliveries, check them against orders, help directors prep for meetings, and wrap up your to-do list before a well-earned long weekend
  • Every day: Spot what needs doing, fix it, and keep the wheels turning - no one needs to ask

Who Will Love This Role?

  • Whirlwinds who bring energy and positivity wherever they go
  • Self-starters who love variety and hate standing still
  • Organisers with a sixth sense for what needs doing next
  • Problem-solvers who don't wait to be told - they just get on with it
  • People who get a buzz from helping others and making things run smoothly

What We're NOT Looking For

We don't want someone who just works harder - we want someone who works smarter, brings unstoppable energy, and thrives on variety. You won't be expected to do the work of three people, just to be adaptable, resourceful, and happy spinning a few plates.

Why Spitfire?

  • 4-day work week (Monday-Thursday, 8am-6pm) = long weekends, every week
  • Competitive salary, company pension, on-site parking, and company events
  • Fun, supportive team with a "make it happen" attitude
  • Loads of variety - no two days are the same
  • Room to shape the role as you grow with us
