Role Overview

We're looking for an organized, proactive and ambitious International Shipping Coordinator to join the PerfectTed team as we take our mission global.

You'll play a key role in supporting our Transport Manager with the logistics and operations behind our international expansion — helping bring PerfectTed to new markets around the world.

You'll be the day-to-day owner of our international shipments – ensuring every order leaves on time, with the right paperwork, on the right Incoterms and in full compliance with local regulations. You'll work closely with our Transport Manager, 3PLs and distributors to keep product flowing smoothly into Europe and beyond.

From product registrations and compliance to order processing and customer communications, you'll be at the heart of ensuring a smooth, seamless experience for our global partners and customers. This role is perfect for someone who thrives in a fast-paced environment, loves solving problems and wants to be part of an exciting growth journey at one of the UK's most dynamic brands.

Key Responsibilities

Support international expansion and market launches

  • Assist with the setup and management of transport for new international markets.
  • Coordinate product registrations, customs documentation and compliance requirements.
  • Work closely with the Transport Manager to ensure smooth market entry and ongoing supply.
  • Plan and coordinate export shipments (road, sea, air and courier) from UK/European warehouses to international distributors, retailers and 3PLs.
  • Work with freight forwarders and customs brokers to secure bookings, confirm routings and resolve any issues in transit.
  • Ensure correct use of Incoterms (e.g. EXW, FCA, DAP, DDP) and align with commercial agreements."

Manage international order processing and fulfilment

  • Track international customer and distributor orders.
  • Liaise with third-party logistics partners to ensure timely and accurate deliveries.
  • Translate customer POs into clear shipping instructions for warehouses/3PLs.
  • Monitor orders from confirmation to delivery, proactively managing delays, short shipments or damages.
  • Maintain accurate shipment trackers, ETAs and status updates for internal teams (Sales, Ops, Finance, Marketing).

Ensure compliance and regulatory excellence

  • Support the completion of necessary certifications, import/export documentation and product approvals.
  • Stay up to date on regional regulatory requirements and ensure all shipments remain compliant.
  • Maintain organised records and systems for all compliance-related documentation.
  • Prepare and review export documentation including commercial invoices, packing lists, certificates of origin and declarations.
  • Support tariff classification (HS codes), customs valuation and product labeling requirements in key markets.
  • Liaise with customs brokers to ensure smooth clearance and quickly resolve any holds or queries.
  • Support applications and renewals for relevant certifications (e.g. organic, BRC-related logistics info, product registrations where needed).
  • Coordinate with regulatory and quality teams to ensure shipping documents reflect correct product claims, ingredients and origin.

Deliver best-in-class customer and partner communications

  • Serve as a key point of contact for international customers, distributors, and logistics partners.
  • Communicate proactively on order updates, delays, or product information.
  • Uphold PerfectTed's reputation for reliability, transparency, and great service.

Requirements

Must-Haves:

  • 3-5 years experience in international shipping, export coordination or logistics operations (Ideally in FMCG / Food & Beverage)
  • Hands-on experience preparing and checking export documentation (invoices, packing lists, CoOs).
  • Familiar with Incoterms and working with freight forwarders, couriers and customs brokers.
  • Comfortable managing multiple shipments simultaneously across different markets and time zones.
  • Proficient in Microsoft Apps

Nice-to-Haves (but not necessary)

  • Experience working in a high-growth, fast-moving startup environment

The Ideal Candidate Is:

  • Calm, collected, and impossible to fluster
  • Obsessed with details and getting the job done
  • A strong communicator

What We Offer

  • Competitive salary + EMI options scheme (real equity upside in the UK's fastest-growing brand)
  • Private healthcare
  • A role that actually impacts people's day-to-day and all the matcha you can drink
  • A stunning office space shared with inspiring, high-performing people you'll learn from daily—including the Flight Story team and Steven Bartlett himself
