Administrative & Organisational Support

  • Provide day-to-day administrative assistance to the Executive Assistant.
  • Manage shared inboxes, action low-level queries, and escalate where appropriate.
  • Maintain organised electronic and paper filing systems and ensure documentation is up to date.
  • Prepare basic documents, reports, templates, and spreadsheets as required.
  • Support proofreading and formatting of company documents under the guidance of the EA.

Diary & Meeting Coordination

  • Assist in scheduling meetings, preparing agendas, confirming attendees, and arranging rooms/Teams links.
  • Help coordinate logistics for internal meetings, including refreshments, IT set-up, and supporting materials.
  • Track meeting actions and follow up to ensure completion.

Travel & Logistics Support

  • Support the EA with booking standard travel and accommodation for staff and visitors.
  • Prepare travel itineraries and ensure relevant documentation is organised.

Project & Event Support

  • Assist with basic research tasks and information gathering for projects.
  • Help coordinate company events, engagement activities, and staff communications.
  • Track project timelines and provide status updates to the EA.

Communication & Correspondence

  • Draft simple emails on behalf of the EA and senior leaders when required.
  • Support handling routine phone calls and enquiries with professionalism.
  • Ensure confidentiality is maintained at all times.

General Support

  • Assist with onboarding tasks such as preparing welcome packs or room preparation.
  • Monitor and maintain office supplies, equipment, and general office upkeep.
  • Provide support on special assignments and tasks as delegated by the EA.

Skills, Qualification & TrainingEssential

  • Strong organisational skills with the ability to prioritise tasks and meet deadlines.
  • Excellent attention to detail and accuracy.
  • Professional, friendly, and proactive approach.
  • Willingness to learn and develop within the role.
  • Good written and verbal communication skills.
  • Competent user of Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
  • Creative when using PowerPoint to be able to create presentation at a high standard and formatted to match the companies.
  • Ability to handle confidential information with discretion.
  • Ability to work both independently and collaboratively in a fast-paced environment.

Desirable

  • Previous experience in an administrative or office support role.

  • Previous experience in supporting events.
