Overview

We are very excited to announce that due to continued growth and a high demand for our services, we are seeking a highly skilled Virtual PA / Remote Personal Assistant / Administrator with proven experience in healthcare administration, medical reporting, and patient scheduling.

As a remote personal assistant, you will work from home to support our private healthcare clients by managing calls, handling enquiries, and completing administrative tasks, enabling them to focus on supporting their patients. This is a self-employed position working as an Associate of the company. You will be responsible for paying your own tax and National Insurance.

About the Company

Virtual Administration Ltd was founded in 2006. We are a home-based team of 18 professional, experienced Virtual PAs and Healthcare Administrators who provide flexible, reliable and affordable administrative support to over 40 clients. We work with and support a very niche client market of private occupational therapists (OT's), case managers, physiotherapists, speech and language therapists, neuropsychologists and other independent healthcare professionals.

Virtual Administration is a rapidly growing company who believe in achieving a great work-life balance.

Ideal Candidate

This role would be perfect for someone who has worked as a personal assistant or administrator in the past especially within a healthcare environment. You may be an experienced medical secretary, clinical administrator (or provide clinical administrative support to an NHS trust), or previously worked as a healthcare administrator or self-employed associate.

You must be a confident, friendly communicator with great empathy and enjoy working remotely.

We are looking for an individual who must:

  • Minimum 3 years' experience as a PA or Executive Assistant, ideally at director level and within healthcare or medical settings.
  • Be confident in corresponding by email and telephone, including managing inbound/outbound client calls as required.
  • Be based in the UK and eligible to work in the UK.
  • Have excellent communication skills.
  • Have excellent English, grammar, punctuation, proof reading and formatting skills and good numeracy.
  • Have excellent organisational skills.
  • Be confident in corresponding by email and telephone accordingly to requests and tasks.
  • Be able to prioritise tasks accordingly when dealing with lots of different tasks.
  • Be a self-starter, able to work with little assistance and use own initiation and judgement.
  • Have good knowledge of Microsoft Office Suite.
  • Have a calm manner under pressure.
  • Be resilient and tenacious.
  • Strong levels of initiative .

Requirements

You must have experience of:

  • Dealing with new enquiries by email and telephone.
  • Answering calls on behalf of clients, ensuring a professional first point of contact.
  • Managing client calls, scheduling follow-ups, and taking accurate messages.
  • Responding to emails in a professional manner on behalf of the client.
  • Taking minutes at live Zoom meetings for our healthcare clients.
  • Typing up minutes from recorded Zoom meetings.
  • Proof-reading complex reports.
  • Formatting of documents and complex reports.
  • Excel creating working spreadsheets using filters and confident in using formulas.
  • Typing documents from audio files.
  • Event and meeting organising.
  • Creating invoices using online software.
  • Using bespoke patient record management systems.
  • Experience with healthcare practice management systems, EMR/EHR platforms, or NHS/private patient record systems is a strong advantage.

You must have:

  • A reliable and suitable computer, printer, scanner and internet connection..
  • Microsoft Office including Microsoft Outlook (desktop version).
  • Robust cybersecurity in place.
  • Appreciation of patient confidentiality, data protection (UK GDPR) and medical ethics.
  • Good balance of professionalism, fun and light-hearted.
