This is a varied and challenging position which will enable you to work across the whole of COPE’s business. You will support the team to keep our activities running smoothly and efficiently, and support the wider Council and Trustee Board with a variety of administrative taks. You will act as the first point of contact for COPE, dealing with queries from members and members of the public.
**Key tasks**
1. Be the first point of contact in handling queries from members and non-members of COPE.
2. Invoice members, process invoices and expense claims, and respond to membership subscription fee queries from COPE members.
4. Work with the Operations Manager in organising virtual and in-person events (Forum, webinars, workshops, seminars).
5. Work with the Engagement and Outreach Officer to update and maintain membership lists, collating news items, adding news items to the website and helping to prepare external facing communications.
6. Assist the Executive Officer and the Engagement and Outreach Officer in undertaking membership research as required.
7. Work with the Web Manager, and other members of the team, in updating and maintaining accurate website content and data as needed.
8. Support COPE’s Designer by collating content for COPE’s resources and proof reading output.
9. Liaise with the Executive Officer and Operations Manager in handling requests and queries from the Officers, Council and members.
10. Support the Operations Manager with scheduling and coordinating Trustee and Council elections.
11. Schedule and take minutes of all internal Council subcommittee meetings.
12. Assist in the preparation of regularly scheduled reports as directed by the Executive Officer, and support Council with the production of PowerPoint presentations.
13. Work with the Operations Manager in the administration of COPE’s resources, including finding translators as required.
14. Organise travel arrangements for the COPE team and Council Members (where appropriate).
15. Support the Executive Officer, Trustee Board and Council with any administrative tasks as required.
**Person specification**
We would like to work with someone who is:
1. Able to work well as part of a small virtual team and who has confidence in supporting a large, volunteer, international Trustee Board and Council.
2. Confident, flexible, and self-motivated to contribute and work remotely.
3. Able to work calmly under pressure, meet set deadlines and pay meticulous attention to detail, completing tasks fully, accurately and on time, prioritising where appropriate.
5. Resourceful and able to research, gather and distribute information as necessary.
6. Willing to help and support colleagues, thinking beyond the task being given.
7. Sensitive to handling confidential and/or sensitive information
**Qualifications and experience**
1. Formal qualifications are not essential but a high standard of English and maths is required.
2. A proven administrative background is essential; a minimum of four years’ experience working with external and internal stakeholders. Experience within the scholarly publishing or university administration sector or within a charity or membership organisation that operates on a global stage would be highly advantageous.
3. Experience in arranging and setting up virtual meetings (ideally using Zoom).
