Position: Practice Administrator
Location: Sevenoaks
Type: Part-time & Full-Time 37.5 (Negotiable hours for the right candidate)
Working Pattern : Monday to Saturdays. (at least 1 Saturday a month)
Salary: £24,500 - £28,000 FTE (Dependent on Experience)
About Us: Xcel Health is a rapidly growing private healthcare business with a presence across Kent, including Sittingbourne, Orpington, Sevenoaks, Sheerness, Maidstone, and Bexley. We are seeking a motivated and experienced Practice Administrator & Patient Relationship Officer to join our dedicated team. This role is crucial to the day-to-day operations of our clinic, involving patient engagement, administrative support, and business development.
Key Responsibilities:
- Front Desk Cover – Warmly greeting and assisting patients
- Diary Management
- Maintaining confidentiality of information
- Processing payments
- Identifying new sales opportunities
- Providing monthly statistics
- Managing stationery and equipment supplies
- Cleaning consulting rooms between sessions
- Building and maintaining long-term client relationships
- Addressing client concerns and complaints
- Excellent multitasking and telephone skills
- Enthusiastic, personable, and positive attitude
Requirements:
- At least two years experience in Customer Service Administration or a related field
- UK Driving License, You maybe required to travel to other sites to cover occasionally
- Proficient in MS Office; working knowledge of CRM platforms
- Customer-oriented with problem-solving aptitude
- Proven experience in client relationship management or sales
- Strong negotiation and influencing skills
- Ability to communicate confidently both verbally and in writing
- Self-motivated with a can-do attitude
- Resilience and ability to adapt to change
- Experience tracking relevant KPIs (e.g., customer satisfaction)
Additional Expectations:
- Providing top-notch customer support through various communication channels
- Proactively identifying client needs and recommending improvements
- Handling client complaints professionally and ensuring fair resolution
- Acting as the point of contact for escalated issues
