Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team This energetic role is vital in ensuring the smooth operation of our office environment. Part time assistant to cover sick leave within a small team operating a long-established industrial training company based in a smart office located in Cardiff Bay. Hours of work are 16 hours per week and could develop into a permanent full-time role.
Responsibilities
- Preparation, printing and distribution via post/email of training paperwork to all Instructors across the UK via couriers and Royal Mail, within a timescale.
- Date entry onto our Client/Contract databases.
- Answering telephone calls and dealing as appropriate.
- Working closely with Technical, Operations and Administration Manager and Directors.
- Arranging accommodation for the Instructors across the UK, within a timescale.
- Maintaining accurate information including data entry onto CRM and excel spreadsheets.
- Assisting with adhoc administrative duties.
- To always maintain a respect for work colleagues and customers, understand and adapt to the diversity of the workplace.
- To support all Mainport Group Team members.
- To develop a good understanding of the clients' business sectors, e.g. Utility Services, Construction etc.
Skills
- Experience as an administrative assistant or relevant role is desirable. But full training will be provided
- Proficiency in computer software including Microsoft Office is essential
- Strong organizational skills with the ability to multi-task
- Excellent written and verbal communication skills
- Knowledge of office management systems and procedures
- Attention to detail and problem-solving skills
- Excellent phone etiquette
