RequirementsThe Role
We are looking for a highly organized, data-literate, and proactive Talent and People Operations Coordinator to be a key member of our tight knit People and Culture team. This critical role is office-based in either our Copenhagen or Central London office. It is centered around providing seamless administrative support across the entire employee lifecycle, with a focus on recruitment, HR systems management, and process efficiency.
The ideal candidate thrives in a fast-paced environment, has exceptional attention to detail, and enjoys leveraging data, AI, and automation to make our tools and processes as efficient as possible.
Key Responsibilities1. People Operations, Data Management, and Strategic Partnerships- Lifecycle Management Support: Provide direct support to the People Operations Partner (POP) and the Business Partner (BP) in the seamless execution of both onboarding and offboarding processes.
- Process Optimization & Automation: Champion efficiency by identifying manual, repetitive tasks. Utilize automation tools and techniques to streamline workflows, ensuring our core systems (Bob, Workable) are leveraged to their full potential.
- Financial Partnership: Partner with the Finance team to track and reconcile headcount numbers and associated personnel costs against the budget and workforce plan.
- Data & Reporting: Be highly data literate and excel mastery combined with strong analytical skills to generate routine and ad-hoc reports on Talent and People metrics as well as support workforce planning and analysis. .
- Candidate Sourcing Support: Utilise LinkedIn Recruiter (or similar tools) to actively support the sourcing and pipeline management of candidates, ensuring a consistent talent stream for high-priority roles.
- Process Management & Metrics: Own and manage the full candidate experience and workflow within our Applicant Tracking System (ATS), Workable. Actively track key recruitment metrics, including Time-to-Hire (TTH) and Cost-per-Hire (CPH), providing regular updates to the team.
- Hiring Approval & Business Cases: Coordinate the end-to-end process for new hiring requests, including securing necessary approvals and preparing detailed business cases for approval.
- Hiring Support: Partner directly with hiring managers to post compelling job descriptions.
- Interview Scheduling: Efficiently coordinate and schedule interviews.
- Candidate Experience: Ensure candidates are given timely and constructive feedback
- "Pitch-In" Mentality: Act as a flexible and reliable team member, willing to take on varied administrative and project tasks across the People/HR function as needed to support a small team environment.
- Travel: Be prepared for occasional travel to our European offices to assist with local HR initiatives or large-scale onboarding events.
- Documentation: Maintain and organize confidential HR records, files, and policy documents.
- Experience: 2+ years of experience in a Recruitment Coordination and People Operations role.
- Tool Proficiency (Mandatory): Demonstrated operational experience using Hi Bob and Workable, as well as linkedin recruiter.
- Technical & Automation Acumen: A keen interest in and ability to leverage AI and automation tools to improve HR processes.
- Experience with workflow automation is a strong advantage.
- Excel Mastery: Advanced proficiency with Microsoft Excel is essential
- Partnership Skills: Proven ability to work collaboratively and effectively with internal stakeholders, particularly Finance and senior HR colleagues (POP/BP).
- Flexibility to work across adhoc projects as directed
