The role

We're looking for a confident, organised and enthusiastic
HR Team Co-ordinator
to join our People Team, supporting the
Chief People Officer (CPO)
and the wider team to deliver a range of strategic and operational events and initiatives here at The London Clinic,
a not-for-profit private hospital and registered charity dedicated to advancing healthcare
.

A key role in the team, this is a varied and hands-on role, perfect for someone who thrives on variety, enjoys making things happen, and loves bringing people together. You'll play a central part in keeping the team organised and connected, from managing diaries and meetings, working with data and co-ordinating projects and hospital-wide events.

This role may suit you

Key Duties

Project co-ordination and tracking

  • Maintain and update the people calendar of all People team projects and initiatives
  • Ensure progress against timelines, flagging risks, delays or significant project overlap
  • Prepare monthly updates and project summaries for discussion with the CPO and leadership team
  • Building strong working relationships across the team, to ensure project alignment and timely delivery
  • Support communication and engagement around key People team initiatives

People and Culture Committee reporting

  • Take ownership for coordinating and preparing the People and Culture Committee Report, working closely with the People Leadership team to ensure timely completion
  • Responsible for creating the dashboard and any supporting detail, presenting the information with clarity and impact

Project /events management

  • Lead and co-ordinate projects such as our Loyalty Awards, Festive celebrations and Recognition programmes along with other people focussed initiatives, working with colleagues and external suppliers to make sure every detail is spot on
  • Drive continuous improvement in how we celebrate, recognise and support our people
  • Use project tools and schedules to track project progress
  • Source, negotiate and co-ordinate venues and logistics for events and meetings, ensuring smooth delivery and cost-effective solutions
  • Connecting with key stakeholders on executive events and diary management

Operational support

  • Manage the people team invoicing processes, ensuring accuracy and timely payments in partnership with our Accounts Payable team
  • Provide diary management and light touch support to the CPO, including coordination of all team meetings and agendas and support with on-call management of CPO
  • Ensuring that new suppliers are set up correctly in the system liaising with suppliers and setting expectations of payment dates

Skills and Experience

  • Proven experience in events and project co-ordination with the ability to plan and track multiple projects
  • Experience of working with senior leaders or committees, including preparing high quality reports and presentations
  • Data and analytical experience, with the ability to interpret people related metrics into insights
  • Sound understanding of financial processes including processing invoices, tracking spend and maintaining accurate records
  • Strong organisational and time management skills, juggling multiple deadlines
  • Confidence in using project management tools and Microsoft Office suite (desirable but not essential)
  • Excellent written and verbal communication skills with the ability to present information clearly and creatively
  • Discretion and professionalism when handling confidential information
  • Strong attention to detail and commitment to quality
  • Curious and proactive, with a continuous improvement mindset
