Key Tasks
Reception duties including:
· Booking appointments for patients and managing queries
· Dealing with prescription requests
· Telephone operation
· Use of computerised system for recording, filing and retrieval of information.
· Other duties considered appropriate to the Receptionist post.
Administration Duties and responsibilities include:
To provide high quality clerical and administrative support to our clinical team, to colleagues and to patients.
To deal with patients and visitors pleasantly, courteously and professionally face to face and on the telephone.
To make new and follow-up appointments for patients with the members of the clinical team. The practice policy is that the emphasis is on providing a quality service.
Answering the telephone promptly and managing the patients' requests, including making appointments, dealing with enquiries and recording messages for clinicians and colleagues.
Recording, filing, coding and retrieving information, using the computer and scanner where necessary.
Handling/distribution of incoming/outgoing mail as requested.
Recording requests for prescriptions, sick notes, etc accurately and providing the relevant information required by the doctor or secretary.
Dealing with requests for home visits and recording the relevant information accurately.
Other administration tasks as required.
General obligations include:
To develop and maintain knowledge and skills to ensure compliance with the practice's IT policy.
To participate in individual/team appraisals, attend mandatory training courses and complete an Annual Personal Learning Plan to identify individual training and development needs.
To help train other staff members, including orientation and induction, if needed.
To take individual responsibility for any Health and Safety issues and obligations under the Health and Safety at Work Act under the guidance of the Practice or Office Manager. To be aware of and comply with other relevant legislation and policies, e.g. fire regulations.
To uphold all aspects of the practice's policies, procedures and legal requirements in relation to personal conduct.
To be responsible for safeguarding the confidentiality of all information receptionists have access to. The successful candidate will be required to sign a Confidentiality Agreement on commencement of their employment.
To maintain and foster good relationships with all colleagues concerned with the provision of Healthcare Services and with Allied Professions/Agencies.
To report accidents/incidents involving self/patients that occur whilst on duty, completing appropriate forms immediately and participating in any necessary follow up.
To maintain a neat/tidy and safe working environment, presenting a professional image to all visitors.
To liaise with colleagues and the Practice Manager to ensure that adequate service provision is maintained at all times and to provide relief cover as and when required subject to availability. We are a small and friendly team and we do our best to support each other, e.g. when a member of the team is on sick leave.
To carry out other responsibilities at the request of the Practice Manager according to the receptionist's ability to do so.

Reception/administrative duties also include to:
Liaise with District Nurses/Health Visitors or other Health Professionals on behalf of the Doctors as required; ensuring that accurate information is given.
Record and book ambulance requests as required.
Obtain results for patients and pass on the information to them in accordance with our guidelines.
Respond positively to other requests from patients or visitors.
Carry out practice procedure for new or temporary registration, ensuring the relevant documents are completed accurately.
Advise patients of the fees for chargeable services, e.g. insurance forms, holiday cancellation forms, etc and make appointments for private services including medicals. Also, to take and record payments for chargeable services and to issue receipts.
Tidy the waiting room and reception, including the individual work station at the end of each session, plus to ensure that stationery and appropriate leaflets are adequately stocked.
Maintain good team communication and attend practice/team meetings.
Receive telephone calls within the minimum number of rings. All telephone calls to be handled in a business like and professional manner, speaking clearly and repeating to the caller the details of an appointment if made.
Take appropriate messages accurately, ensuring that you have taken the caller's telephone number, and ensure that the message is actioned as soon as possible.
Ensure that the telephone procedure is correctly followed at the end of day and that the appropriate message has been set on the answering machine.
Check that the telephone has been transferred to the Out of Hours service before leaving the building.
Perform any other reasonable duties that may be necessary for the efficient running of the practice.
Management of Repeat Prescriptions
Our receptionists work within the current Standard Operating Procedures for prescription management, entering authorised requests for repeat medication on the computer system.
Management of the Appointment System involves the following:
At the start of each session, check the appointments offered include variations.
Make appointments on the computerised appointment system for Doctors, Practice Nurses, GP assistant, Phlebotomist, Dietitian, etc
Cancel/change surgery appointments when necessary and inform patients by text or telephone.
Monitor availability of appointments and report any problems to the Practice Manager.
Start and End of Day Procedures include:
Check lab-links and share amongst the GPs in the surgery that day.
Deal with on-line prescription requests.
Check that the telephone has been transferred to the OOH service/back to Practice.
Administration Duties may include:
Scan incoming mail/correspondence.
Electronic GP Link's removal of patient's records, record new patients' registrations, change of addresses.
Check daily Out of Hours emails/sheets, with all correspondence to be put in GPs' baskets for action, follow through with any necessary action.
Photocopy medical records/reports.
Read code from clinic and other letters as highlighted by the doctor.
Contact families re Child Health Surveillance, complete the appropriate paperwork for scheduled appointments and file records.
Assist practice nurses with recall/administration duties for disease registers.
