An exciting opportunity has become available for the role of Medical Day Unit Administration Team Leader at the medical day unit at RM Kingston MDU. The post holder will coordinate all administrative aspects including data collection, reception and clerical duties. The successful candidate will be responsible for ensuring the day‑to‑day management of the administrative functions, organising and allocating tasks, and working closely with the Sister of the unit, the nursing team and other healthcare professionals. As part of your role, you will be expected to undertake training and supervision of the administration team and to work collaboratively with the wider multidisciplinary team to provide comprehensive and efficient administration support for the service. Main duties of the job Patient access to healthcare professionals and subsequent treatment planning in the specialist hospital setting relies upon good quality organisational and administrative support. The Deputy Team Leader is often the first point of contact for users of the Trust’s services and is central to the co‑ordination and effective functioning of the Clinical Unit team. The post holder will be responsible for the provision of an efficient administrative service to a consultant team within the Clinical Unit, liaising with all colleagues within the multidisciplinary team, and with internal departments and external agencies to ensure the continuity of patient treatment. Detailed job description and main responsibilities For further information on this role, please see the attached detailed Job Description and Person Specification To act as the first point of contact for users of the service, and to proactively deal with telephone enquiries from patients, their carers, GPs and colleagues in other hospitals in a professional manner. To lead the administration team in all day‑to‑day tasks required for the smooth running of the MDU with the support of Sister. To type and distribute clinical and general correspondence in line with Trust standards. To process new patient referrals within Trust and nationally agreed time frames, enabling compliance with quality standards for the diagnosis and treatment of cancer. To open and action their own electronic and paper mail on a daily basis, and also that of the consultant team where required. To input and maintain patient diagnoses and current clinical unit data on the Hospital Information System, and other patient‑related information as required. To deal with private patients and overseas visitors in accordance with the working methods of the relevant consultant(s) and in line with Trust systems and policies. Person specification Education Educated to NVQ Diploma level or equivalent qualification or experience in a similar role. Competent at Microsoft Excel, Word and Outlook. Willing to undergo relevant training. Association of Medical Secretaries and Practice Managers Receptionists (AMSPAR) qualification or equivalent. Customer care course/experience. European Computer License (ECDL) or equivalent. Experience Excellent patient interaction. Excellent interpersonal skills with particular ability to liaise and communicate effectively with multi‑disciplinary team members. Experience of working in a hospital or healthcare environment. Skills Ability to work pro‑actively and co‑operatively with senior management and clinical and admin staff. Excellent organisational skills.
