Clinical Office Coordinator, Neuroscience, Stroke and Palliative Care Employer: Ashford & St. Peter's Hospitals NHS Foundation Trust – St. Peter's Hospital, Chertsey KT16 0PZ. Reference: 323-AC4642-JN Job Summary As a highly organised and skilled professional, you will support the Neuroscience, Stroke and Palliative Care services by coordinating clinical office activities. Your role includes triaging calls and messages, directing them to the appropriate Consultants, responding to general inquiries, maintaining patient pathway data, and ensuring compliance with regulatory guidelines. You will also provide administrative support to the clinical team and interact with patients, healthcare providers and pharmacies to streamline communication. Key Responsibilities Triage calls and messages, directing them to appropriate Consultants, and independently answer queries when appropriate. Support the clinical office and clinical staff with comprehensive administrative duties, including front‑desk, telephone, and email operations. Use patient administration IT systems to manage records, booking, and follow‑up appointments. Coordinate workload with Consultants and specialty teams, ensuring efficient service delivery. Work with the Patient Pathway Team to actively manage patient pathways and monitor for breaches of 18‑week targets. Book, cancel, and re‑book outpatient appointments and manage related paperwork. Monitor departmental email inboxes, cancel or re‑book clinics, and ensure accurate completion of clinic letters (Dictate IT). Assist in monitoring patient movement to other Trusts, ensuring compliance with MDS forms and escalation policy. Provide secretarial and admin cover to other Clinical Office Administrative Coordinators Monday to Friday. Qualifications and Skills Experience in healthcare administration or a similar role, preferably in a clinical or hospital setting. Familiarity with medical management systems and protocols. Knowledge of NHS constitution, Trust vision, values and strategic objectives. Excellent communication skills, with the ability to provide customer‑focused service. Strong organisational and time‑management abilities, including self‑motivation and flexibility. Dedication to honesty, reliability, trustworthiness, and respectful behaviour towards patients, visitors and colleagues. Ability to travel between Trust sites and work independently. Desirable: working knowledge of Cerner, Evolve and Dictate IT; knowledge of Neurology.
