We're looking for a Facilities Administrator to provide a professional, welcoming front-of-house service to all visitors, clients and colleagues and deliver a high-quality service supporting the Facilities Manager and needs of the business. Your role involves a combination of telephone, internal / external email communication and working proactively with the Facilities Manager to ensure that stakeholders work in a safe, secure and H&S compliant environment. The majority of this role will be working from our Newport Office, however, there will be an expectation to attend the Cardiff office as and when required. More Specifically, your day-to-day responsibilities will include: Proactively keep up to date with best practice compliance of Health and Safety & Environmental matters Take ownership for the reception area, identifying problems or opportunities to improve service delivery to stakeholders Welcoming and liaising with visitors, contractors and clients on site, informing them of the signing in and out process and contractor site rules Operation of the Net2 access control system, in line with the ENABLE process, to ensure ID badges are issued to starters, leavers and contractors Establishing and developing ongoing supplier relationships (stationary, catering, hospitality etc) Responding to Facilities ServiceDesk requests within agreed SLA’s Escalating H&S risk / hazards with appropriate urgency Supporting the Facilities Manager in delivering scheduled H&S checks of our properties Review H&S teams (First Aiders / Fire Marshals) to ensure adequate numbers – scheduling training courses when required, to ensure cover onsite is maintained Scheduling planned and reactive maintenance of site with external contractors Stock management and ordering of stationery supplies and printer consumables on behalf of the organisation. Provide support for all facilities related initiatives and projects, including recognising any cost savings You’ll be supported by an experienced team within the People Team, giving you the opportunity to learn and grow in a collaborative environment.
