Job summary West View Surgery has a vacancy for a Medical Receptionist.This is an essential front-line role at the practice, where you will play a vital role in joining our team where you will be speaking to patients and other stakeholders on the telephone and in person, managing patient referrals, processing clinical documentation amongst other essential tasks.
The role of the Medical Receptionist is varied and challenging.
Main duties of the job There may be on occasion, a requirement to carry out other tasks;this will be dependent upon factors such as workload/staffing levels:a.
Deal with all generalenquiriesb.
Provide an effective andefficient reception service to patients and all other visitors to the practice.c.
Maintaining and monitoringthe practice appointment systemd.
Process personal,telephone and e-requests for appointmentse.
Answer incoming phonecalls, transferring calls or dealing with the callers request appropriatelyf.
Signpost patients to thecorrect serviceg.
Initiating contact withand responding to, requests from patients, team members and external agenciesh.
Data entry of patientregistrations and relevant patient information as requiredi.
Input data into thepatients healthcare records as necessaryj.
Ensuring all letters,reports, results etc are scanned and filed promptly, ensuring that all recentcorrespondence is available when patients are seenk.
Creating clinicalreferrals viathe e-referral systeml.
Manage all queries asnecessary in an efficient mannerm.
Carry out system searchesas requestedn.
Summarise new patientmedical recordso.
Process patient deductionsvia the PCSE portalp.
Maintain a clean, tidy,effective working area at all timesq.
Support all clinical staffwith general tasks as requestedr.

Theremay be on occasion, a requirement to carry out other tasks; this will bedependent upon factors such as workload and staffing levels: a.Acting as a 'first point of contact' with patients over the telephone and in person at the reception desk.
b.Liaisingwith external agencies such as hospitals and community services, ensuringreferrals are processed efficiently.
c.Manageall enquires in an effective manner.
d.Maintainan accurate referrals database.
e.Processcalling letters as requested.
f.Scanningof patient related documentation and attaching scanned documents to patientshealthcare records.
g.Inputdata into the patients healthcare records as necessary.
h.Processreferrals using the electronic referral system (ERS).
i.Processrequests for information SAR, insurance / solicitors letters and DVLA forms.
j.Readcode data on Emis Web.
k.Answerincoming phone calls, transferring calls or dealing with the callers request appropriately.
l.Manageall administrative queries as necessary.
m.Carryout system searches as requested.
n.Maintaina clean, tidy, effective working area at all times.
o.Supportall clinical staff with general administrative tasks as requested.
p.Processnew patient registrations.
q.Processpatient deductions.r.
Provide front of house reception cover.s.
Process prescription requests.
Person Specification Experience Essential * Experience of working in a GP surgery * Experience of administrative duties * Experience of using EMIS Web * Experience of using eRS * Experience of working in a health care setting.
* Excellent communication skills (written and oral) * Strong IT skills * Clear, polite telephone manner * Competent in the use of Office and OutlookEffective time management (Planning & Organising) * Ability to work as a team member and autonomously * Good interpersonal skills * Problem solving & analytical skills * Ability to follow policy and procedure Qualifications Essential * Educated to GCSE level or equivalent * GCSE Mathematics & English (C or above) Desirable * NVQ Level 2 in Health and Social Care or Business Administration
