Purpose of the role As a PMO Manager, you will play a critical role in supporting various projects, with the majority relating to delivering change within the Facilities Management Sector, specifically the transition of services betwen services providers.
To do this you will run an efficient PMO, delivering vigour and robust project management processes to ensure the successful execution of projects, and driving overall service excellence for our customer and end client.
This is a dynamic and collaborative role that requires strong analytical, communication, excellent stakeholder management and problem-solving skills.
Responsibilities The role will be responsible for the overall delivery of the project, ensuring correct project management documentation is completed including project initiation and kick off, project progress and assurance reviews (i.e.
Steering Commitees), stakeholder management, operational readiness and then handover and closure documentation.
Finalising with a lessons learned review ensuring iterative learning of the mobilisation process for continuous improvement.
Develop and Establish a Transition Plan Establish, evaluate, enhance, and uphold standards for program and project management.
Offer documentation and guidance to ensure the adoption of top-tier program and project management strategies, from initial business case development to design, implementation, and completion.
Formulate and bolster strategies and procedures for efficient planning, tracking, and delivery of programs and projects.
This includes creating and managing a plan, RAID log, compiling status reports and project updates to monitor and communicate progress effectively.
Updating progress against plan, delivering regular updates on portfolio progress and highlighting critical risk areas.
Implement Robust Governance Develop cadence that will provide sufficient review and oversight without being time consuming for Workstream Leads.
Schedule and manage governance meetings as needed, including documenting progress thorugh minutes, capturing and circulating actions and chasing through to completion to keep project pace and outcome focussed.
Ensure trackers are in place for any items that take place outside of the overall plan at a workstream level that also need to be tracked such as TUPE (confidential), Recrutiment (confidential), supplier onboarding (not confidential), site visit schedule (not confidenctisl) and ensure data is kept appropriatley (in line with releavnt GDPR/data security standards) Utilise internal reviews to collate feedback and progress against plan and develop client/end client facing presentation decks to provide updates at review calls and/or SteerCos.
Managing RAID Implement RAID tracking to include Risks, Issues, Assumptions and Depencies.
Assist Workstream Leads oversee workstream delivery including maintaining activities, budgets, risks, issues, dependencies, and both financial and non-financial benefits.
Articulate each to provide sufficient analysis and overview and be able to pull data into a summary report.
Stakeholder Management Identify and map all stakeholders across the project internally and externally.
Complete due dilligence across stakeholders and stakeholder groups to understand what methods will suit each group.
Liaisie with Comunication and Training Lead (if allocated to project) to align on approach, deliverables and output.
Develop distributuion lists for various communciations and meetings (if not assigned to Communications and Training Lead).
Develop prepare and issues a weekly project bulletin to summarise weeks activities and progress (if not assigned to Communications and Training Lead).
Operational Readiness & Cutover Develop business readiness critieria including essential go live requirements that is agreeable with all stakeholders.
Schedule deep dive review ahead of go live to understand any potential issues, gaps or areas where additional support may be needed.
Develop a cutover plan to provide intricate details around the transition and hanover of services, people, tools, equipment and systems between providers.
Manage increase in support and governance around the cutover period, including hypercare (two weeks pre and post go live).
Manage specific cutover risks and issues and reporting (increased frequency of reporting during cutover).
Transition and Handover to BAU Ensure all transition activities are completed, closed out and are agreed by the client and end client as concluded.
Ensure project documentation is archived and handed over to BAU Team point of contact.
Ensure service excellence has been delviered and identify areas for improvement thorugh a lessons learnt review.
Make recommendations as necessary to improve the customer journey and end user experience received from an empro project.
Liaise with empro Finance & Commerical Manager to ensure billing is completed and all costs invoiced/recovered.
Requirements 5 years+ experience in the Facilities Management industry.
5 years+ experience of PMO or Project related experience.
Effective communicator with a solution-oriented approach.
Ability to develop excellent internal, external and third party relationships.
Strong analytical and organisaitonal skills.
Excellent technical skills (MS Office, Project , Visio, Excel, SharePoint etc.)
Ability to manage and monitor budgets and resources.
A pro-active and flexible approach within a changing environment.
APM, P3O or PRINCE2 Accreditations.
