Job summary The post holder will provide a comprehensive and high quality secretarial and administrative support to the Consultant, doctors and other professionals within the A&E Department in the Acute Medicine and A&E Directorate.
The post holder will also be expected to liaise in a professional manner with colleagues, visitors and patients and undertake a wide spectrum of administrative and secretarial duties.
The post holder will be expected to manage and prioritise their own workload using experience and initiative.
The post holder will work independently to provide a secretarial and administrative office function, adhering to UHB policies and procedures.
Main duties of the job The post holder will be required to perform the full range of duties outlined in this Job Description and may include evening and weekend work as necessary.
The principal accountabilities of this post are: Plan own day to day tasks and duties.
Undertake routine typing and audio typing of clinical correspondence.
Manage Consultant's diaries.
Prioritise results, organise clinical activity and patient admissions.
Liaise with patients, General Practitioners and other Health Boards/Trusts to arrange ongoing treatment and care About us Cwm Taf Morgannwg University Health Board is part of the NHS Wales family.

Job description Job responsibilities The post holder will be required to : Play a supportive role with the running of the medical team.
Anticipate problems on any urgent issues recognised within the department and take necessary action to solve these problems using their own initiative.
Communicate with clinicians, patients, nurses, managers, administrative staff, and relatives, General Practitioners, Representatives and other Health Boards/Trusts.
Act as the first point of contact for the Consultants and their Medical Teams.
Deal with patients, relatives and members of the public as and when they arrive at the office in person, taking appropriate action, using tact and sensitivity and maintaining strictest confidentiality.
Overcome any barriers to understanding when communicating sensitive information with patients/relatives, using language which is easily understood.
Establish and maintain effective communication with other internal Departments eg.
Wards, Medical Records and Radiology.
Liaise effectively with external organisations such as General Practices, other Hospitals, and Social Services and, as required, Coroners Office, Police, Courts and Prison Service.
Communicate sensitive patient related information effectively with medical, nursing and administrative colleagues at all levels in the organisation, adhering to the UHB Sharing of Information Guidelines.
Ensure that complaints from patients or their relatives are handled appropriately and, where necessary, the complainant referred on to the appropriate person and/or department.
Work within available resources and financial constraints.
Ensure resources are used to the best of their ability.
Make judgements on facts and situations which require analysis, and which are ongoing eg.
re-scheduling of Consultant appointments and commitments, dealing with queries from service users and providing results by telephone when appropriate.
Organise and maintain the diaries of the Consultant and their Team to ensure clinical activity runs smoothly.
This will includes making appointments with patients and/or their relatives, internal colleagues and external contacts in relation to any of the Consultants additional duties eg.
Research, audit or managerial responsibilities etc.
Person Specification Aptitude Essential Excellent keyboard and audio typing skills.
Desirable Ability to take shorthand Qualifications Essential RSA/OCR Level III or equivalent level of knowledge, skills and experience.
Desirable ECDL (European Computer Driving Licence) or similar qualification Knowledge of University Health Board procedures.
Experience Essential Previous experience in a secretarial role.
Desirable Experience of working in a hospital environment.
