Office Coordinator & Front Desk Lead - Bristol Head OfficePermanent, Full-time 35 hours, Monday - Friday Hambrook, North BristolUp to £30,000The RoleAs Office Coordinator & Front Desk Lead, you will lead the day-to-day coordination of effective and professional front of house services to a high standard and support the management of all Property management (PM) functions to maintain optimum accommodation, environmental and support service standards within corporate Property Management guidelines and budgetary constraints within the Bupa Dental Vantage Park Office Avon House.Responsibilities On site lead for reception services, galvanizing the team to deliver a high standard, professional and welcoming Front of House experience, adapting as necessary to meet varying customer needs.Support the Senior Property Manager (SPM) setting and restructuring reception duties identifying and implementing service improvements and innovation to meet customer expectations and fill gaps in service.Lead the effective implementation of Bupa’s UK Physical Security and Access Control procedure. Ensure the reception team are delivering essential visitor management and pass issue procedures defined in the policy consistent alongside other UK offices.Day to day site lead for incident response and reporting, coordinating initial response to evolving incidents, communication and instruction to site staff and escalation to property management.Support SPM overseeing of essential legislative building compliance activity, scheduling, contractor hosting and management and escalation of issues.Act as lead fire marshal coordinating response to fire evacuations, completing fire safety audits and PEEPS (Personal emergency evacuation planning) and fire warden recruitment. This role will also involve evac chair training and ongoing training of specified staff in the use of evacuation aids.Support the H&S team in the recruitment of sufficient first aider provision and act as an appointed first aider for the building.Lead and coordinate proactive ‘visual maintenance’ of designated floor areas, inspecting the office environment for maintenance, cleaning, security, and H&S considerations. Raising and escalating defects to the helpdesk, service providers, property management and H&S team where appropriate.Day to day ownership of property helpdesk management and reporting. Coordinating weekly reports, engaging with contractors and service providers to obtain progress updates and close out as per agreed SLA’s.Support contractor management and supervision ensuring H&S processes and procedures are followed and expected professional standards are maintained.
