We have a new and exciting opportunity as an Administrator, working directly with the Project Manager, client and other team members as appropriate. As the Administrator, you will be the expert on internal system processes and requirements, ensuring that all material is completed correctly and on time.
Role responsibilities
* Create, update and maintain spreadsheets and project information
* Managing client calls via Teams/telephone
* Maintaining Priority project status – Draft, Live, Complete etc
* Set up all client projects – Priority, Sharepoint, (url removed)
* Quotes – convert account director’s Excel quotation/pricing document into Sales Estimate within Sugar for approval and Priority Quote for submission to client
* Convert quotes to sales order once quote approved
* Updating delivery dates within Priority to reflect real world changes to delivery schedules from PM – tying into bi-weekly invoice update meeting
* Pulling relevant reports to proactively track changes of data within Priority. E.g project completion/sales orders being invoiced.
* Running bi-weekly invoice calls to ensure invoicing dates are accurate.
* Updating external systems to ensure product stock is accurately reported (Mintsoft)
* Provide support in chasing PMs for costings, CPAs
* Creating commercial invoices and packing lists
* Collating monthly invoice data for client records
What we need from you
* Competent in IT packages – including Microsoft Office/Outlook/Teams.
* Good client facing skills with the ability to build relationships through delivering exceptional service
* Advanced Excel skills preferred as much of the work involves this program. (Basic skills are acceptable if candidates can learn and put into practice quickly.)
* Accuracy and attention to detail on all documents and required material.
* Good client facing skills - building trust & relationships
* Takes initiative to anticipate and complete tasks ahead of being asked.
* Able to multi-task, work across many different teams and project details simultaneously.
* An understanding of Retail Display or Creative would be an advantage but not necessary
