We are seeking a skilled Administration and Document Management Specialist to join our team at James Lewis Recruitment. This dynamic role will involve working with an expanding company in the construction industry, utilizing your expertise in document control.

Main Responsibilities:
  • Ensure that all project information is accurately downloaded and distributed to the team in a timely manner.
  • Organize and maintain key files, incorporating the latest revisions and documentation.
  • Track and log all uploaded and returned documents, guaranteeing seamless communication within the team.
  • Maintain live drawings and ensure compliance with company procedures and guidelines.
  • Cultivate strong relationships with multidiscipline design teams, subcontractors, and clients.
  • Oversee the efficient distribution of documents and drawings to project personnel, promoting productivity and collaboration.
  • Guarantee adherence to company procedures and guidelines, upholding industry standards.
  • Verify the accuracy and consistency of drawings and documents transmitted by lead consultants.
  • Manage the document control software system, providing comprehensive training and support to colleagues.
  • Develop and maintain controlled document registers and associated documentation.
  • Collaborate with Project Managers to develop and maintain critical documents, such as drawings, specifications, approvals, and related items.
  • Deliver exceptional results in a fast-paced environment, prioritizing tasks, managing time effectively, and multitasking.
  • Employ professional judgment when handling sensitive documents, consistently demonstrating strong interpersonal and communication skills.
Ideal Candidate Must:
  • Have a minimum of 2 years of experience as a Document Controller in the construction industry.
  • Excel in administration, possessing strong organizational and time management skills.
  • Be adept in using Aconex or Q-Flow document control systems.
  • Communicate fluently in English and possess excellent written and verbal communication skills.
  • Demonstrate familiarity with other IT systems, including Microsoft Word, Excel, and Outlook.
  • Hold a valid driver's license and own a reliable vehicle for business travel.

Based on industry standards, we estimate the annual salary range for this position to be between £40,000 and £50,000.
