We are seeking a highly organized and detail-oriented Personal Assistant/Team Coordinator to join our Legal and Business Integrity team at Ocado Group. This is a fantastic opportunity to work in a fast-paced environment and support the Governance, Risk, Compliance, and Sustainability leaders.
Key Responsibilities- Provide confidential administrative support to the LBI teams, including diary management, meeting coordination, and travel arrangements.
- Manage the diary of the SLT, including internal and external meetings, and work with other Team Assistants and stakeholders to ensure seamless coordination.
- Support the team with organization and preparation for meetings, including presentations, live streaming, and action item follow-up.
- Assist with the onboarding of new LBI employees, including supporting managers with equipment requests.
- Manage the use of tools such as Box, Plexus Gateway, Brightflag, Workday, and Google Suite.
- Track and manage invoices, as required.
- Provide practical support, including filing, binding, printing, ordering stationery, and dealing with technical issues.
- Support the LBI Functional Support Manager with events, including Town Halls, Business Updates, Live Streams, Away Days, and Social Events.
- Manage the LBI Team distribution groups and Slack channels, and conduct quarterly audits.
- Create purchase orders and liaise with Finance.
- Attend meetings to take minutes, facilitate discussions, and ensure managers are well-prepared.
- Meet and greet visitors, and liaise with clients, suppliers, and employees.
- You have previous experience in diary management and organizing meetings using Outlook or Google Suite.
- You are tech-savvy and can find new and efficient ways to work.
- You are highly organized and a master of time management.
- You have proven experience working in a fast-paced business where prioritization is essential.
- You are flexible and adaptable, with a willingness to work varied hours to meet the needs of the role.
- You can communicate confidently with individuals at all levels, including Senior Managers, Heads of Department, and Directors.
