Job Title: Monitoring and Planning Coordinator

At Miki Travel Limited, we are seeking a highly organized and detail-oriented Monitoring and Planning Coordinator to join our team. As a key member of our operations team, you will be responsible for planning, organizing, and coordinating all aspects of tours and excursions to ensure a smooth and enjoyable experience for our clients.

Main Responsibilities:
  • Develop comprehensive tour itineraries that encompass transportation, accommodation, meals, activities, and other logistical details.
  • Ensure tours and itineraries are well-organized, efficient, and within a feasible schedule while also meeting regulations and requirements for each destination.
  • Prioritize customer satisfaction by understanding clients' needs, preferences, and special requests and efficiently communicate with other departments to guarantee expectations are met.
  • Facilitate final itineraries to local suppliers and Long Distance Coach and obtain their details 1 to 2 days before the tour departure.
  • Carry out LDC rota reconfirmations regularly and update records on a daily basis.
  • Collaborate with sales' offices and Air Ticket Support to efficiently book group flight tickets and ensure rail tickets are received by hotels/local offices in time.
  • Meet and greet clients/tour leaders and accompany VIP groups when required.
  • Proactively investigate, address, and resolve any issues or challenges that may arise during the tour, such as transportation delays or changes in itinerary.
  • Make courtesy calls and pay visits to suppliers and tour leaders to gather feedback and ensure it is duly recorded on a daily basis.
  • Monitor the performance of suppliers and service providers to ensure standards are met and good quality services are being offered and issue clear and concise reports accordingly.
  • Negotiate compensation with tour leaders and suppliers to minimize loss for Miki and maximize profit margin through promoting our other products and services.
Requirements:
  • Excellent English verbal and written communication skills
  • Additional knowledge of Chinese or any Asian language preferable
  • Willingness to carry out occasional weekend work
  • High levels of organization and accuracy
  • Able to deliver and perform under pressure
  • Technical aptitude with an ability to thrive in a multi-tasking, fast-paced environment
  • Ability to adapt to a diverse and multi-cultural environment
