The role

The Quality Assurance and Administration Assistant will assist the Team Leader in supporting the wider Dispute Resolution & Litigation team in Scotland. Primary responsibilities include assisting with internal compliance oversight audits and providing administrative support for the legal teams and their clients.

We welcome applications from individuals who may not have all the necessary skill sets or experience, as full training will be provided to the successful applicant. This role may involve a combination of technical responsibilities, including quality assurance and compliance, administrative support, and general responsibilities.

Main Responsibilities

Quality Assurance and Compliance:

  • To complete quality checks on work completed by the wider department to ensure that internal and external requirements are being met.
  • To assist with the completion of the response to client audits.
  • To assist the team lead in maintaining policy and procedure documents.
  • To assist the team lead in maintaining compliance records.
  • To support the team lead in preparing training materials and the delivery of training on client standards to the wider DR&L team in Scotland.

Administrative Responsibilities

  • To provide day-to-day administrative support to the DR&L team as directed by the Team Lead.
  • To assist the Litigation Managers with internal and external reporting.
  • To undertake litigation activities in line with the court process as directed by the Team Lead.
  • To manage internal and external data transfer sites.
  • To support the wider department with various finance tasks.
  • To support with the loading of new client instructions.

General Responsibilities

  • To be familiar with and follow the Unit's policies, procedures, and processes.
  • To comply with all of the firm's policies and all regulatory requirements.
  • To control and manage your workload effectively and efficiently using the relevant case management systems and IS resources and processes appropriately.
  • To be responsible and accountable for your workload, including meeting internal and client SLA requirements.
  • To recognize any potential issues in cases and refer them appropriately.
  • To attend and complete any training in a timely manner.
  • To attend internal and external meetings as required and assist in implementing changes to any Unit procedures.
  • To liaise with other internal teams as appropriate.
  • To assist the Unit in achieving financial targets, other KPIs, management information, and meeting budgets.
  • To support the Unit with marketing initiatives when required and collating management information.
  • To assist the department with any other administrative tasks as directed by your line manager.

You will need the following skills and experience:

  • IT literate with experience of using Word, Excel, and the internet.
  • Good written, numeracy, and oral communication skills.
  • Accuracy and attention to detail.
  • Ability to prioritize, be organized, and efficient.
  • Flexibility with the capability to adapt to change, new practices, and cope under pressure but with the ability to recognize when to seek assistance.
  • Able to integrate within a team and able to work on your own initiative.
  • Friendly and helpful approach.
  • Confidence to challenge current practices and processes and influence senior management.
