About The Hawthorns Surgery

We are a friendly but extremely busy 6 partner GP Practice committed to the care and wellbeing of others.

This is a temporary position with the possibility of becoming a permanent position. Up to 35 hours per week, 5 days a week, morning and afternoon shifts.

Main Responsibilities

Deal with booking appointments and patient queries on the telephone and on the front desk.

Work alongside the Reception Lead to provide support to ensure the smooth day to day running of Reception and undertake other duties as and when required.

Key Responsibilities

  • Ensure an effective and efficient Reception service is provided to patients and any other visitors to the Practice.
  • Deal with all General enquires, explain procedures and make new and follow-up appointments.
  • Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Receive and make telephone calls as required. Divert calls and take messages via Day Book, ensuring accuracy of detail and prompt appropriate delivery.
  • Enter requests for home visits into the visit book, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
  • Give out results to patients after the Doctor has actioned.
  • Handling post.
  • Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
  • Enter patient information on to the computer as required.
  • Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.
  • Ensure reception and the waiting areas are kept tidy.
