About the Role
We are seeking a highly organized and proactive Administrative Support Officer to provide exceptional administrative support to our Service Director of Technology and Digital. As the first point of contact for all enquiries, you will manage diary appointments, emails, phone calls, and paperwork with ease.
Key Responsibilities
- Act as the primary point of contact for the Service Director, handling enquiries, and managing diary appointments, emails, phone calls, and paperwork.
- Liaise with internal and external partners, including contact with members and colleagues from different departments and organizations.
- Exercise strict confidentiality when dealing with sensitive matters, using systems to log relevant information.
- Draft and send communications on behalf of the Service Director as required.
- Provide PA support services to the Service Director as needed, remaining flexible and responsive on a daily basis.
Requirements
- Experience working as a PA to a senior manager.
- Excellent literacy skills, including written and verbal communication skills, with the ability to collate and communicate information effectively.
- Good planning, preparation, and task management skills to assist with diary management and meeting requirements.
- Ability to take comprehensive notes that accurately represent meetings attended.
- Good influencing skills, with the ability to negotiate with people from diverse backgrounds to achieve a desired result.
- Experience with collaboration tools such as Skype, Teams, Planner, and Yammer, working on single documents with colleagues, and general use of the web, search, e-commerce, CRM, information dashboards, and analytics.
