Role Overview:

The Conference Operations Manager will be responsible for supporting the EMEA logistics team in delivering Gartner's global conference portfolio. This role will oversee the development, management, and execution of various conference elements related to logistics, including overall conference management and VIP client experiences.

Key Responsibilities:

  • Oversee all aspects of the conference planning process, ensuring flawless delivery and superior attendee experiences across the portfolio of conferences.
  • Manage operational delivery of logistics elements across complex in-person conferences and VIP client experiences for Gartner's premium clients, prospects, and internal business units.
  • Develop and lead a team to adhere to timelines and templates, ensuring effective project management.
  • Manage conference budgets, including direct responsibility for all costs associated with logistics delivery and overall ownership of the conference budget.
  • Lead on cost negotiations, proposals, contracting, and terms and conditions for suppliers.
  • Collaborate with Conference Production cross-functional teams to ensure seamless delivery of first-class events and experiences.
  • Attend conferences as the onsite lead for in-person delivery, managing the production schedule, conference staff, and liaising with agency partners and vendors.
  • Build and maintain good relationships with key conference partners and team members, both internal and external.
  • Constantly evaluate the experience, feedback, and results, implementing changes accordingly.

Requirements:

  • 5+ years of event management experience, with proven operational skills, including production schedules, budget management, and event staffing.
  • Project management and end-to-end event management experience on detailed programs with multiple variables and dependencies.
  • Proven experience in managing agency and vendor partners, as well as delivering to senior clients.
  • Proven people management experience.
