Estate Support Specialist

About the Role:
We are seeking a highly organized and detail-oriented Estate Support Specialist to join our team at Colliers International EMEA. As an Estate Support Specialist, you will be responsible for delivering exceptional support to the Head of Office and providing a high-quality administration service to the department.
Main Responsibilities:
- Coordinate monthly and quarterly client meeting reports, including budgets and reconciliations, alterations and alienations, inspections, and vacant units.
- Ensure property files are up-to-date and accurate.
- Draft lease forms for the accounts team.
- Regularly liaise with tenants and clients to ensure seamless communication.
- Assist with licence to alter and assignments, as well as other property matters.
- Prepare expenses claims for the Head of Department.
- Deal with telephone queries from internal and external clients.
- Maintain a digital filing system and ensure all documents are easily accessible.
- Prepare and raise invoices as requested.
- Liaise with the accounts team to ensure forecasting and other financial requirements are met.
Daily Management:
- Arrange meetings and update diaries to ensure seamless coordination.
- Ensure all meeting rooms are booked for meetings and events.
- Carry out other reasonable management requests, such as ordering stationery and filing.
- Be aware of and comply with company and statutory requirements regarding health and safety, fire, and hygiene.
Requirements:
- Excellent communication and organizational skills.
- Good time management and attention to detail.
- Ability to work under pressure and meet tight deadlines.
- Proactive and flexible attitude to the workload.
- Intermediate knowledge of Microsoft Office products.
- Good academic background.
