About the Role

The Institute Administrator will provide administrative support to the Institute of Care Excellence, working closely with the Institute team leads to ensure the smooth delivery of educational and research programmes. This role will involve taking responsibility for the administration of Institute-related training courses, development days, and conference events, including booking systems, rooms, and venues.

Main Responsibilities

  • Provide administrative support to the Institute team leads, including updating booking systems, booking rooms and venues, and ensuring all necessary documentation is completed.
  • Liaise with internal and external stakeholders to ensure all booking requirements are fulfilled in a timely fashion.
  • Book, plan, and facilitate key meetings, taking notes and ensuring agenda, notes, and other documentation are distributed to all attendees in a timely manner.
  • Act as Admin Lead for the portfolios and events allocated to support, using initiative and problem-solving skills to resolve any issues that may arise.
  • Ensure all databases, spreadsheets, and publications are kept up to date and accurate, in line with current SOP for the portfolios supported.
  • Provide a high-quality communication service, responding to messages to the Institute Mailbox in a timely manner or cascading to the relevant Faculty member to answer.
  • Set up and clear any training courses, development days, and conference events, including technical and equipment support where necessary.

Person Specification

  • 4 GCSEs or equivalent, including English
  • NVQ Level 3 in Business Administration, ECDL, or equivalent experience
  • Previous experience of office administration or a similar relevant role
  • Knowledge and experience of using software programmes, Microsoft Office, especially Outlook, Word, Excel, and PowerPoint
