Customer Service Coordinator

We are seeking a proactive and organized Customer Service Coordinator to join our dynamic team. In this role, you will be the primary point of contact for our clients, managing their requests, and coordinating the necessary work activities with our engineering team.
Key Responsibilities:
- Client Communication: Handle incoming calls and emails from clients, addressing their inquiries, concerns, and service requests in a timely and professional manner.
- Workload Planning: Effective planning and scheduling of the monthly planned preventative maintenance work load.
- Appointment Scheduling: Liaising with clients to arrange appointments for engineers' attendances.
- Job Coordination: Liaising with field engineers on jobs.
- Record Keeping: Maintain accurate records of client interactions, work orders, and service schedules in our internal systems.
- Relationship Building: Build and maintain strong relationships with clients, understanding their needs and ensuring their satisfaction with our services.
- Reporting: Provide engineers reports to clients following engineers' visits.
- Administrative Tasks: General filing & scanning, requesting purchase orders from clients as and when necessary, and updating the client portals as necessary.
- Team Collaboration: Working alongside Operations Manager and liaising with sales team.
Qualifications and Experience
- A Minimum 5 years of Proven clerical and administrative experience in the service industry.
- Proficiency in using customer service software, scheduling tools, and Microsoft Office Suite.
- Experience of using Sage & CASH will be an advantage.
- Strong organisational and multitasking skills.
- Excellent communication and customer service skills.
- Ability to work effectively under pressure and meet tight deadlines.
