Workforce Operations Planning Specialist

We're seeking a Workforce Operations Planning Specialist to develop and implement comprehensive event operational plans that control resources and manage staffing levels. The ideal candidate will have extensive experience in workforce planning and operations management, preferably in a stadium or large-scale events venue.

The Workforce Operations Planning Specialist will be responsible for effective operational planning and delivery of events, coordinating aspects of the operations functions, including scheduling internal teams and 3rd party contractors, and managing financial cost controls. Strong analytical skills, impeccable attention to detail, and the ability to collaborate with cross-functional teams are essential.

Key Responsibilities:
  1. Developing realistic and comprehensive event operations plans to optimize efficiency and effective cost controls.
  2. Monitoring and controlling resources to ensure outgoings are in line with approved budgets and monthly forecasts.
  3. Leading monthly forecasting processes, scheduling services for each function through 3rd party providers.
  4. Effective workforce planning for both internal and 3rd party teams - managing internal event staff allocations and shift schedules.
  5. Collaborating with department heads to align planning schedules.
  6. Analysing data to identify trends, risks, and opportunities for improvement or for opportunities to bring roles in-house.
  7. Providing regular reports to senior management and leadership team.

Requirements:
  1. Relevant experience in similar workforce operations planning roles, ideally within a stadium / arena or large scale events space.
  2. Experience in creating realistic and comprehensive operational plans and workforce plans.
  3. Exceptional skills in planning - thinking through implications of decisions and competently organizing resources.
  4. Budget management experience.
  5. Forecasting experience.
  6. Excellent communication skills with strong interpersonal skills and the ability to handle objection.
  7. Ability to influence, guide decision, and negotiate to meet objectives.
  8. Strong analytical skills with the ability to interpret complex data and make strategic decisions.
  9. Proficiency in planning software and tools (i.e. ERP systems, MRP systems, Excel etc).
  10. Ability to work efficiently in a fast-paced environment.
  11. Flexible and adaptable.
  12. Ability to deal with changing priorities.
  13. Client-focused attitude.
