Job Summary

We are seeking a highly organized and detail-oriented Facilities Helpdesk Administrator to join our team at Options Resourcing Ltd. As a key member of our support team, you will be responsible for providing exceptional customer service and administrative support to our clients and internal stakeholders.

Key Responsibilities
  • First Point of Contact: Respond to all phone queries and Support Centre Inbox inquiries in a timely and professional manner.
  • Helpdesk Administration: Provide administrative support to our Engineers, Contract Managers, and clients, including raising purchase orders, chasing updates, and job reports.
  • Quote Management: Manage quote logs, chase quotes for additional works, raise client quotes, and instruct works as approved by clients.
  • Client Liaison: Liaise with the client team on a regular basis to ensure proactive support of their requirements.
  • Reactive Callouts: Monitor the progress of reactive callouts, ensuring compliance and follow-up works are delegated to the correct department.
  • Sub-Contractor Management: Assist in managing sub-contractor visits and ensure compliance with company procedures.
Requirements
  • Excellent Communication Skills: Possess good communication skills, both written and verbal, with the ability to communicate effectively with clients and internal stakeholders.
  • Administrative Experience: Have experience in a similar administrative role, with a strong understanding of administrative procedures and processes.
  • Computer Literacy: Be computer literate with a strong understanding of Microsoft Office, including Word and Excel.
  • Time Management: Possess good time management skills, with the ability to prioritize tasks and meet deadlines.
  • Client-Facing Skills: Have experience in a client-facing role, with a strong understanding of customer service principles.
  • Health and Safety Legislation: Have a good understanding of Health and Safety Legislation and company procedures.
