Job Description

This role provides an exciting opportunity to work as an Office Operations Specialist at Williams Lea, where you will be responsible for delivering exceptional customer service to clients, performing operations without direct supervision, with a high level of multi-skilling.


Responsibilities
  • Taking and passing on accurate messages
  • Courteously greeting and interacting with visitors to the premises
  • Managing room and hospitality bookings, including setting up rooms
  • Arranging hospitality and liaising with onsite cleaning teams
  • Organising and ordering catering
  • Supervising and assisting at events
  • Delivering an exceptional electronic and hard copy file management service
  • Returning or adding documents to existing client files
  • Working with the practice management system to log and record documents
  • Handling and administering closed files
  • Sorting, scanning, renaming and distributing incoming mail
  • Providing photocopying, scanning, and printing as per customer instructions
  • Collecting and completing billing or client charge back data
  • Performing extensive computer and data related tasks

Requirements
  • Experience working on Microsoft Office programmes
  • Excellent customer service skills, confident in liaising with Clients and strong communication skills
  • Client-focused approach to service provision through personal commitment to their business
  • Strong attention to detail and a critical eye for accuracy
  • Ability to work under pressure within tight deadlines with flexible approach
