Job Summary: We are seeking a skilled Office Operations Coordinator to join our team. The successful candidate will provide administrative support to the Office Manager and contribute to the smooth day-to-day running of the office.

About the Role:

The Office Operations Coordinator will be responsible for answering the main phone line, meeting visitors, and maintaining soft facilities. They will also assist with booking shipping requests, marketing material mail outs, and completing product sample requests.

Main Responsibilities:

  1. Provide administrative support to the Office Manager.
  2. Answer the main phone line into the office and deal with calls in a timely manner.
  3. Meet visitors and take in deliveries.
  4. Maintain soft facilities such as cleaning contracts, first aiders, fire wardens, and ensure relevant paperwork and certificates.
  5. Book shipping requests UK/Overseas.
  6. Assist with marketing material mail outs in absence of team members.
  7. Carry out completion of product sample requests and liaise with the Sales and Operations team to process the requests and notify the appropriate representative and update spreadsheets accordingly.
  8. File and log all legal agreements.
  9. Order office stationery and ensure best value for money is always obtained.
  10. Work effectively with all team members to ensure goals are consistently met and assist in day-to-day support where required.

Requirements:

  • Good administration experience.
  • Excellent telephone manner and happy dealing with people.
  • A can-do and proactive approach to work.
  • A good working knowledge of MS Office including Excel.
  • A driver with their own car would be ideal, unless living in Petersfield.

Salary: £25,000 per annum.
