Job Description

We are seeking an experienced and highly skilled Executive Personal Assistant to support our Managing Director (Industrial & Commercial) in providing professional secretarial and administrative support. The successful candidate will be the first point of contact for internal and external stakeholders, handling all correspondence, phone calls, and visitor queries with discretion and professionalism.

Key Responsibilities

  • Office Management: Develop and implement efficient office systems, including data management and filing, to ensure seamless operation of the department.
  • Travel Arrangements: Arrange travel itineraries, visas, and accommodation for the Managing Director, as well as accompanying them to meetings and presentations as required.
  • Communication: Screen phone calls, emails, and requests, handling them accordingly, and meeting and greeting visitors at all levels of seniority.
  • Meeting Coordination: Organize and attend meetings, ensuring the Managing Director is well-prepared and that all necessary materials are available.
  • Diary Management: Coordinate the scheduling of meetings, organize and maintain diaries, and make appointments for the department.
  • Correspondence: Deal with incoming email, faxes, and post, often corresponding on behalf of the Managing Director, and liaising with clients, suppliers, and other staff.
  • Documentation: Take dictation, minutes, and produce documents, briefing papers, reports, and presentations for the Managing Director.

Requirements

  • Previous experience supporting at Chief Executive/Director Level.
  • Substantial experience in using IT systems, including Word processing, spreadsheets, internet, Excel, and PowerPoint.
  • Advanced IT skills in MS Office applications, email, and the Internet.
  • Appropriate level of data protection, security awareness, and confidentiality awareness.
