Job Title: Facilities Workspace Coordinator

Location: Hemel Hempstead

Reporting to: Facilities Workspace Manager

Salary: 35,000 D.O.E

Overview:

We are seeking a highly motivated and organized individual to join our team as a Facilities Workspace Coordinator. The successful candidate will be responsible for overseeing the delivery of TFM Services, ensuring compliance with statutory tasks, and coordinating remedial actions when required.

The ideal candidate will have excellent communication skills, be able to work well under pressure, and have a strong understanding of Health and Safety in the workplace. They will also be able to identify potential problems and act accordingly.

Key Responsibilities:

  • Building Compliance: Ensure all statutory tasks are completed in required timeframes and coordinate remedial actions when required.
  • Collaboration with Teams: Work with sustainability, procurement, IT, and HSE teams to identify opportunities.
  • Front of House Department: Direct supervision of the Front of House Department.
  • Subcontractor Management: Arrange and supervise subcontractors from quoting to signing off works.
  • Client and Facilities Workspace Manager Meetings: Attend regular meetings with the client and Facilities Workspace Manager to discuss potential and current work/projects.
  • Helpdesk Support: Oversee helpdesk support across all UK sites.
  • On-Call Rota: Be on standby for the out of hours on-call rota to cover any gaps.
  • Deputy to Facilities Workspace Manager: Act as deputy to the Facilities Workspace Manager.
  • Monthly Spend Tracking: Track all monthly spend for the department and create a monthly report for both Client and Pareto FM.
  • Team Environment: Foster a collaborative and inclusive team environment, encouraging open communication, teamwork, and a positive work culture.
  • Soft Services and Subcontractors: Maintain and report on all soft services and subcontractors. Attend monthly site meetings with contract managers across different sites.
  • Problem-Solving: Be prepared to 'fill the gaps' and step into any of the facilities roles, within your competency, in times of constrained resource.
  • Client and Supplier Relationships: Maintain effective relationships with clients and internal/external suppliers by resolving service issues.
  • Visitor and Guest Booking Systems: Manage and resolve invoicing queries and issues within a timely manner.
  • Security Systems: Ownership of all security systems (CCTV, ANPR, Access Control, Security Patrol, etc.).
  • Small Projects: Specify, support, and deliver small projects.
  • Permit to Works: Issue permit to works when required.
  • Facilities Workspace Manager Support: Support the Facilities Workspace Manager in all Facilities Management functions.
  • Travel: When required, the job holder will be required to travel to other UK BSI sites as required and will need to have a full driving license and their own vehicle.
  • Collaboration with Engineering and Development Teams: Work closely with the engineering and development teams to achieve the Facilities Management Team goals.

Desirable Attributes:

  • PC Literacy: PC literate and competent in all relevant MS applications, i.e., Word, Excel, and PowerPoint.
  • Facilities Management Experience: Experience in Facilities Management hard services, soft services, and/or total facilities management.
  • Health and Safety Understanding: Good understanding of Health and Safety in the workplace.
  • Problem-Solving Ability: Has the ability to identify potential problems and act.
  • Initiative Generation: Ability to generate ideas for development of new initiatives, changes to procedures, and sustainability factors as well as the introduction of new technology.
  • Building Management Understanding: An understanding of building management, i.e., building plant, building management systems, audio visual systems, security systems, EV charge points, CCTV, etc.
  • CAFM Systems Experience: Experience with CAFM systems.
