Reporting to: Facilities Workspace Manager
Salary: 32,000 D.O.E
Overview:
We are seeking a highly skilled and experienced Facilities Operations Manager to join our team at Pareto Facilities Management. The successful candidate will be responsible for overseeing the day-to-day operations of our facilities, ensuring that all services are delivered to contract and legal requirements.
The ideal candidate will have a strong background in facilities management, with experience in managing teams and coordinating projects. They will be able to work effectively in a fast-paced environment, prioritizing tasks and managing multiple projects simultaneously.
Key Responsibilities:
- Oversee the delivery of TFM Services through self-delivery and service partners.
- Manage the Front of House Department, including direct supervision and arranging subcontractors.
- Coordinate remedial actions and ensure all statutory tasks are completed in required timeframes.
- Work closely with sustainability, procurement, IT, and HSE teams to identify opportunities.
- Attend regular meetings with clients and Facilities Workspace Manager to discuss potential and current work/projects.
- Provide cover for Front of House/reception duties for illness, annual leave, or lunch relief.
- Attend audits on Facilities Management documentation and processes for BSI's ISO accreditations.
- Oversee helpdesk support across all UK sites.
- Be on standby for the out of hours on-call rota to cover any gaps.
- Act as deputy to the Facilities Workspace Manager.
- Track monthly spend for the department and create a monthly report for clients and Pareto FM.
- Foster a collaborative and inclusive team environment, encouraging open communication, teamwork, and a positive work culture.
- Maintain and report on all soft services and subcontractors, attending monthly site meetings with contract managers.
- Be prepared to 'fill the gaps' and step into any facilities roles within your competency in times of constrained resource.
- Manage visitor and guest booking systems, resolve invoicing queries, and own security systems.
- Specify, support, and deliver small projects, issue permits to works when required, and support the Facilities Workspace Manager in all Facilities Management functions.
- Travel to other UK BSI sites as required, with a full driving license and own vehicle.
- Work closely with engineering and development teams to achieve Facilities Management Team goals.
Desirable Attributes:
- PC literate and competent in MS applications, including Word, Excel, and PowerPoint.
- Experience in facilities management hard services, soft services, or total facilities management.
- Good understanding of Health and Safety in the workplace.
- Ability to identify potential problems and act.
- Generate ideas for development of new initiatives, changes to procedures, and sustainability factors, as well as the introduction of new technology.
- Understanding of building management, including building plant, building management systems, audio visual systems, security systems, EV charge points, and CCTV.
- Experience with CAFM systems.
