About the Role

The Mid Yorkshire Teaching NHS Trust is seeking a highly skilled and experienced Executive Support Specialist to provide high-quality, comprehensive, and confidential executive support services to our Executive Directors.

As an Executive Support Specialist, you will be responsible for managing the diary, inbox, and workload of the Executive Directors, as well as coordinating meetings, preparing reports, and providing administrative support to committees and meetings.

You will be the first point of contact for the Executive Directors, dealing with issues that require prompt attention and resolution, and will work closely with other members of the team to ensure the smooth operation of the office.

The ideal candidate will have substantial experience of providing support to a Senior Manager/Director, including taking accurate minutes and providing effective diary management, and will be able to work independently and with discretion, using initiative and producing accurate work to a high level of presentation.

Key Responsibilities

  • Manage the diary, inbox, and workload of the Executive Directors, ensuring that deadlines are met and tasks are completed to a high standard.
  • Coordinate meetings, prepare reports, and provide administrative support to committees and meetings.
  • Be the first point of contact for the Executive Directors, dealing with issues that require prompt attention and resolution.
  • Work closely with other members of the team to ensure the smooth operation of the office.
  • Provide support to the Executive Directors in their role as lead director for Trust policies, ensuring that effective control mechanisms are in place and policies remain up to date.
  • Support the Executive Directors with the Trust's annual Celebrating Excellence Awards, liaising with judges and nominees, and collating scores on behalf of the Executive Directors.

Requirements

  • Substantial experience of providing support to a Senior Manager/Director.
  • Experience of taking comprehensive and accurate formal minutes.
  • Diary management experience.
  • Good telephone manner, with the ability to take clear and accurate messages and ensure they are passed on appropriately.
  • Experience working in a confidential environment and adhering to office procedures, policies, and protocols.
  • Ability to work independently and with discretion, using initiative and producing accurate work to a high level of presentation.
  • Excellent communication skills, with the ability to provide administrative support to committees and meetings, and knowledge of effective meeting administrative processes.
  • Ability to organise and prioritise workload, collate and format reports and presentations, and understand the NHS infrastructure and terminology.
