Job Title: New Homes Administrator

We are seeking a highly motivated and organized individual to join our Land and New Homes team as a Part Time New Homes Administrator.

Key Responsibilities:
  • Create new site set-ups and listings, ensuring accuracy and attention to detail.
  • Manage and maintain text for events, updates, and photos, showcasing our properties in the best light.
  • Process sales, exchanges, completions, and withdrawals through our MI and CRM systems, ensuring seamless transactions.
  • Coordinate reservation paperwork, ensuring all necessary documents are in order.
  • Produce Rightmove price guide reports, update and distribute price lists, keeping our sales team informed.
  • Create brochures, window cards, and prepare adverts, highlighting the features and benefits of our properties.
  • Act as the central point of contact for the New Homes Managers, providing support and guidance as needed.
  • Perform general administrative duties, including form filling and stationery requests, ensuring our office runs smoothly.
Requirements:
  • Positive attitude, organized, numerate, and detail-oriented, with a passion for delivering high-quality results.
  • Self-motivated, able to work autonomously, and take initiative when needed.
  • Excellent verbal and written communication skills, with the ability to build strong relationships with colleagues and clients.
  • IT literate, with proficiency in MS Office, internet, and email systems.
Administrative Tasks:
  • Prepare and maintain website listings, including adding photos and floorplans, checking information for accuracy, and refreshing content.
  • Prepare and send HTML mailers, keeping our clients and customers informed about our properties and services.
  • Process sales, exchanges, completions, and withdrawals, ensuring all necessary documents are in order.
  • Update and distribute price lists, keeping our sales team informed about market trends and changes.
  • Liaise closely with the New Homes marketing team to create sales brochures, window cards, and other point-of-sale materials.
  • Assume responsibility for Anti-Money Laundering processes, ensuring our business operates within regulatory guidelines.
  • Chase sales progress, ensuring our clients and customers are kept informed about the status of their transactions.
  • Work closely with the in-house and client marketing teams to create new advertising campaigns, both online and offline.
  • Be responsible for Marketing Audits, ensuring our marketing efforts are effective and aligned with our business goals.
  • Work with New Homes Managers to assist in general new site set-up activities, ensuring our properties are presented in the best possible light.
  • Prepare and assist in the completion of Sales Reservation paperwork, ensuring all necessary documents are in order.
  • Make newly released homes available to the market, ensuring our clients and customers are informed about new properties.
  • Complete any tasks associated with the withdrawal of homes from the market, ensuring our business operates within regulatory guidelines.
  • Undertake detailed Competitor analysis, ensuring our business remains competitive in the market.
  • Prepare ad-hoc Rightmove Reports as required, keeping our sales team informed about market trends and changes.
  • Liaise with the Central team in respect to stationery requests, ensuring our office runs smoothly.
  • Maintain and update Health and Safety folders as required, ensuring our business operates within regulatory guidelines.
  • Liaise with the Central team in respect to purchase invoice processing, ensuring our financial transactions are accurate and timely.
  • Liaise with the Central team in respect to staff timesheets, ensuring our HR processes are efficient and effective.
