Job Summary

Main Responsibilities

Key responsibilities of the Medical Receptionist include:
  • Maintaining and monitoring the practice appointment system to ensure efficient scheduling and patient flow.
  • Processing personal, telephone, and e-requests for appointments, and responding to patient inquiries in a timely and professional manner.
  • Answering incoming phone calls, transferring calls, or dealing with caller requests appropriately, and signposting patients to the correct service.
  • Initiating contact with and responding to requests from patients, team members, and external agencies, and photocopying documentation as required.
  • Data entry of new and temporary registrations, and relevant patient information, as required, and inputting data into patient healthcare records as necessary.
  • Directing requests for information, such as SAR, insurance/solicitors letters, and DVLA forms, to the administrative team, and managing all queries in an efficient manner.
  • Maintaining a clean, tidy, and effective working area at all times, and monitoring and maintaining the reception area and notice boards.
  • Supporting all clinical staff with general tasks as requested, and completing administrative tasks in relation to patient results and letters.
Secondary Responsibilities

In addition to the primary responsibilities, the Medical Receptionist may be requested to:
  • Partake in audit as directed by the audit lead.
  • Support administrative staff, providing cover during staff absences, with training.
  • Action incoming faxes when necessary, and scanning of patient-related documentation and attaching scanned documents to patient healthcare records, as required.
  • Complete opening and closing procedures in accordance with the duty rota, and support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently.
Person Specification

The ideal candidate will possess:
  • Educated to GCSE level or equivalent, with GCSE Mathematics and English (C or above), and AMSPAR Receptionists Qualification, and NVQ Level 2 in Health and Social Care.
