Job Summary

We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Primary Care Management Solutions Ltd. As a Medical Office Coordinator, you will be responsible for providing administrative support to our clinical team and ensuring the smooth operation of our medical office.

Main Responsibilities

  • Maintain and monitor the practice appointment system to ensure efficient scheduling and minimize wait times.
  • Process personal, telephone, and e-requests for appointments, and respond to patient inquiries in a timely and professional manner.
  • Answer incoming phone calls, transfer calls, or deal with caller requests appropriately, providing excellent customer service to patients and external agencies.
  • Signpost patients to the correct service or department, ensuring they receive the necessary support and care.
  • Initiate contact with and respond to requests from patients, team members, and external agencies, maintaining effective communication and relationships.
  • Photocopy documentation as required, and data entry of new and temporary registrations and relevant patient information.
  • Input data into patients' healthcare records as necessary, ensuring accuracy and confidentiality.
  • Direct requests for information, such as SAR, insurance, or solicitors' letters, and DVLA forms to the administrative team.
  • Manage all queries in an efficient manner, providing solutions and support to patients and staff.
  • Maintain a clean, tidy, and effective working area at all times, and monitor and maintain the reception area and notice boards.
  • Support all clinical staff with general tasks as requested, and complete administrative tasks related to patient results and letters.

Secondary Responsibilities

  • Participate in audits as directed by the audit lead, ensuring compliance with regulatory requirements.
  • Support administrative staff, providing cover during staff absences, and with training.
  • Action incoming faxes when necessary, and scan patient-related documentation and attach scanned documents to patients' healthcare records.
  • Complete opening and closing procedures in accordance with the duty rota, and support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently.

Person Specification

We are looking for a highly motivated and organized individual with excellent communication and interpersonal skills. The ideal candidate will have:

  • GCSE level or equivalent qualification in English and Mathematics (C or above).
  • AMSPAR Receptionists Qualification or equivalent.
  • NVQ Level 2 in Health and Social Care or equivalent.
